Job Description

The Assistant Retail Manager for Ravinia is an exciting retail position in the entertainment industry.  The Assistant Retail Manager, reports to the Associate Director, Retail Operations. During Ravinia's busy season the Assistant Manager oversees the three retail operations located on Ravinia's park premises. This includes Ravinia's Festival Shops and chair-rental operations. Responsibilities include customer service, employee and volunteer management, inventory control and online retail sales. During the off season, this individual will attend trade shows,  continue to work on Ravinia’s web site and assist the Associate Director with off season events while planning and preparing for the upcoming season. 

 

Qualifications

Duties and Responsibilities

May - September

  • Serves as backup manager for gift shop and chair rental when the Associate Director is not on site
  • Sets staffing schedule and helps supervise the Wintrust Chair Rental and Ravinia Festival Shop seasonal employees and volunteers
  • Provides assistance in inventory maintenance and controls for retail operations
  • Manages online order fulfillment
  • Serves as liaison with other departments to facilitate delivery of merchandise and fulfillment of interdepartmental and corporate merchandise needs
  • Organizes the warehouse to ensure merchandise is received, processed and available for replenishment to the selling floor
  • Serves as a point person for proper set up and closing procedures during the concerts, responsible for nightly reports if manager on duty
  • Assists with merchandising and restocking of gift shops during the concert as needed
  • Sets customer service example for all staff and volunteers
  • Responds to phone calls and emails from our customers
  • Works with Ravinia’s social media department to get information out about Ravinia’s new merchandise and promotions
  • Helps sell artist merchandise and processes CD settlements and invoices for payment

October - April

  • Assists in the closing of the Festival Shop and chair rental closing operations, including the tear down of chair rental and the gift shop and assists in year-end inventory by organizing and counting the warehouse product
  • Attends trade shows to select products for the Festival Shop
  •  Works offseason events that include BGH concerts and other off-site holiday events
  • Manages and promotes the Ravinia Festival Shop website to maximize off season sales
  • Maintains website by removing old products and adding new products
  • Contacts vendors to get images for new products for the website
  • Assists in photo shoots for new product
  • Processes internet orders
  • Creates SKU’s for new product
  • Enters purchase orders into the computer retail program
  • Helps interview seasonal employees for the upcoming season
  • Helps manage inventory organization in preparing for the summer concert season

Knowledge and Skills Required 

  • Ability to work in fast-paced environment
  • Knowledge and understanding of point-of-sales system
  • Detail-oriented
  • Must be able to lead and direct the activities of others as backup manager when the Associate Director is not present
  • Must be friendly and courteous with professional demeanor
  • Must be proficient in Microsoft Office, including Excel and PowerPoint
  • Must be able to multi-task and be flexible enough to interrupt one task to work on a new priority
  • Must be able to lift heavy boxes

Education and Experience

  • College degree preferred
  • Two years experience in a retail management role, including staff supervision preferred

Work Environment

  1. Qualified candidates must be able lift 30 lb boxes.
  2. Qualified candidates must be able to work a flexible schedule depending on workload and priorities. Many evenings and weekends are required during the summer season.
