Ravinia® is both North America’s longest-running not-for-profit music festival and its most artistically diverse. Over 100 different events by a mix of classical, rock, pop, jazz, R&B, indie, and country performers make up a typical summer season on our two open-air and two indoor stages. Each year the Chicago Symphony Orchestra is featured in six weeks of concerts, many with Chief Conductor Marin Alsop. During the same summer months, the Ravinia Steans Music Institute provides young professional classical and jazz musicians with career-advancing training and concert settings.

Job Description

Ravinia is seeking a team of Assistant Production Coordinators to assist in the coordination and execution of all non-technical backstage operations for the 2024 summer season. Coordinators play an integral role in the building of the department’s daily schedule and are vital to the day-to-day operations backstage at Ravinia. These positions are highly coveted and past employees have gone on to obtain full-time employment within major arts organizations across the country. 

Dates of Employment
Mid-May through Late-September 2024 

General Responsibilities 

  • Shared responsibility acting as main receptionist / dispatch for the Production department
  • Shared responsibility in creating and maintaining the master operations schedule for the Production department 
  • Aid in the management of day to day backstage operations
  • Shared oversight of the department’s Production Assistants 
  • Creation of dressing room forms, shopping lists, and other organizational paperwork for artist hospitality 
  • Leads day-of-show artist hospitality and dressing room set-up with the aid of department staff
  • Shared oversight of department transportation (including artist ground transportation and errands)  
  • Shared responsibility in maintaining Production department inventories
  • Assists with Kids Concert Series, Carousel Stage performances, and dance shows, as needed
  • Assists with Chicago Symphony Orchestra, other classical and non-classical performances, as needed
  • Aid in the daily organization and coding of department purchase receipts 
  • Assists with the driving of artists and errands, as needed
  • Other duties as assigned
     

Compensation
Weekly salaried (exempt) mid-May through late-September. Forty to sixty hours per week based on concert schedule. Some meals provided. Monthly cell phone stipend. 

Qualifications

Ideal candidates will offer some of the following skills/experience:

  • Background in hospitality, event planning, or concert production
  • Experience supervising staff
  • Familiarity with Google Workspace
  • Excellent attention to detail and organizational skills 
  • Excellent verbal and written communication skills
  • Creative problem-solving and ability to multi-task in a fast-paced environment
  • Ability to be on your feet for extended periods of time
  • Ability to work outside of normal business hours (position requires extensive early mornings, nights and weekends)
  • Familiarity with classical music
  • Foreign language speakers are encouraged to apply
  • Clean driving record**

**Driving Record Requirements to Operate Ravinia Fleet Vehicles

  • Drivers must be age 19+
  • Record must be free of any violation for speeding in excess of 19 mph over the speed limit within the last 3 years
  • Record must be free of multiple speeding violations (of any severity) within the last 3 years
  • Record must be free of any at-fault accident violations within the last 5 years

There are no technical/on-stage aspects to this position. This position reports to the Operations Manager, the Production Coordinator, Production Manager and Artistic Producers. All hiring is contingent upon receipt of an approved background and driving record check. All employees are required to sign an employment agreement and a confidentiality agreement.
