Job Description
We are seeking a permanent full-time Executive Assistant to provide dedicated support to the Chief Medical Officer Australia, based in Sydney.
This is a pivotal role supporting an expanding national team and coordinating key medical leadership activities across multiple therapeutic areas. The position is responsible for managing complex executive support functions, coordinating and minuting evening meetings with doctors across specialty areas including Obstetrics & Midwifery and Emergency Departments, supporting VMO Town Halls, and assisting with key leadership events including Medical Advisory Committee (MAC) Chair meetings.
Given the breadth and increasing demands of the portfolio, this role is best suited to a proactive, highly organised professional who thrives in a fast-paced healthcare environment.
Key Responsibilities
- Provide high-level, confidential executive and administrative support to the Chief Medical Officer Australia
- Manage complex calendars, correspondence, meetings, and competing priorities with discretion and efficiency
- Coordinate, prepare, and distribute agendas, reports, presentations, meeting papers, minutes, and follow-up actions
- Coordinate and minute evening medical leadership meetings and forums across multiple specialty areas, including Obstetrics & Midwifery, Emergency Departments, and VMO Town Halls
- Support engagement and communication with VMOs, clinical leaders, executives, and external stakeholders
- Coordinate leadership meetings, events, and initiatives, including MAC Chairs meetings and other key medical forums
- Provide administrative support across a growing national medical leadership portfolio
- Support medical administration processes, including credentialing and VMO file management where required
- Maintain accurate, organised, and confidential filing and documentation systems
- Contribute to continuous improvement initiatives and broader executive office priorities
About You
You’re a natural organiser who thrives in a fast-paced, high-stakes environment. You bring a calm, solutions-focused approach and are confident working with senior stakeholders.
You’ll also have:
- Strong written and verbal communication skills
- Exceptional attention to detail and time management
- Proven ability to manage competing priorities and meet deadlines
- Advanced Microsoft Office skills (Word, Excel, Outlook)
- A high level of discretion and professionalism when handling sensitive information
Desirable
- Experience in healthcare, hospitals, or a clinical environment
- Familiarity with hospital systems (e.g. Meditech, IBA)
- Experience supporting senior executives or medical leadership
