Job Description

The Role 

The OTTWA Administration Coordinator provides general support and coordination of the administrative functions of OTTWA rehoming program, ensuring the smooth operation of our initiatives aimed at rehoming retired racehorses. 

The successful team member will work closely with the management team to facilitate efficient communication, manage documentation, and coordinate administrative tasks to support the overall mission of OTTWA.

Key Responsibilities include:

  • Provide administrative support to the manager, liaising with the OTTWA Retrainers, prospective buyers, internal RWWA staff.
  • Maintain accurate and up-to-date records, horse rehoming paperwork including EOI’s and waivers, financial documents for the sale, and correspondence.
  • Book Murdoch University health intake visits and liaise with OTTWA Manager
  • Book and monitor all horse movements to and from the Estate.
  • Manage all payment processes to Retrainers, suppliers, Network Retrainers and intake rebates to trainers
  • Liaise with the Manager and Animal Welfare Marketing team to engage followers for promoting OTTWA initiatives and sale of horses. Assist with social media platforms, writing and post updates to social media channels and websites as required.
  • Assist with the implementation of the equine welfare initiative, SafeHouse and work with the Sponsorship and Partnership co-ordinator to assist with the administration and partnerships for this project
  • Regularly update and maintain records of OTTWA horses available for rehoming, including their profiles, retraining program, medical histories and current status
  • Manage OTTWA passports for all horses that are part of the OTTWA Retraining & Rehoming program.
  • Responsible for ordering feed, equipment, medication and supplies as directed by the manager.
  • Assist with generating reports and analyse data to track program effectiveness.

Qualifications

About You

  • Ability to work in a team and autonomously to deliver outcomes.
  • Proven experience in administrative roles in a busy environment managing competing deadlines.
  • Demonstrated high level communication skills both written and verbal, with the ability to effectively interact with diverse stakeholders
  • High level attention to detail and accuracy in the execution of work
  • Well-developed computer literacy skills with Microsoft Office 365
  • Strong problem-solving skills
  • Demonstrated delivery of high-level customer service
  • Current ‘C’ class driver’s licence

Desirable

  • Knowledge and understanding of different equestrian disciplines to assist organisational requirements.
  • Experience with Thoroughbreds and /or Standardbreds in racing or retirement.
  • Experience with retraining retired racehorses.
