Job Description

As the Accounting Assistant, you will work collaboratively and independently to ensure compliance with GAAP, company policies, and department goals. You will assist the Controller and the President & CEO with the daily functions of the Accounting Department. You will be responsible for all functions and activities that pertain to both Accounts Receivable and Accounts Payable and will take initiative to resolve any issues or concerns. You should have a strong attention to detail, exhibit good decision-making skills, and have a customer service-oriented attitude. A background in NetSuite (or other similar ERP/accounting system is a must, NetSuite experience strongly preferred).

In this role you will report directly to the Controller in our Farmington Hills, MI headquarters office. This position can potentially be performed under a hybrid schedule with regular weekly travel to the headquarters office.

What You'll Do (responsibilities)

  • Create project accounts in NetSuite
  • Determine proper Account codes for AP/AR and post Bills/Invoices
  • Determine proper Account codes for Credit Card transactions and post
  • Investigate and resolve discrepancies from AP/AR and credit card transactions
  • Prepare, enter and maintain filing of Accounts Payable & Accounts Receivable
  • Prepare bank deposits
  • Record online bill payments for AP and file
  • Reconcile Prepaid and Revenue Support documents using Excel and NetSuite
  • Job Cost knowledge including AIA Documents a plus
  • Knowledge of Sales Tax on AP/AR sides a plus
  • Create Customer & Vendor records in NetSuite
  • Verify W-9 forms and Certificates of Liabilities
  • Under direction investigate outstanding invoices, make collection calls, and process liens for collections when necessary.
  • Additional administrative/clerical duties as may be assigned as needed

Qualifications

Skills & Experience You Have:

  • Minimum 2-4 years’ experience in an accounting role
  • Previous experience in a project-based accounting environment is a plus
  • Previous experience with ERP/Accounting systems, highly preferable NetSuite experience
  • Basic Accounting coursework or equivalent work experience
  • Accounts Payable/Receivable or other related bookkeeping experience
  • Any related professional certifications are not required but are a plus
  • Notary Public is a plus
  • Must have strong Organizational skills
  • Proficient MS Excel/Word/Outlook skills
  • Advanced skills in MS Excel (Pivot Tables, advanced formulas & functions, etc.) strongly preferred
  • Commitment to a high degree of accuracy, consistency, and timeliness

Education/Training You Have:

  • Advanced Excel training or equivalent strongly preferred (Pivot Tables, advanced formulas & functions, etc.)
  • Currently pursuing an advanced degree in accounting or completed Associate’s degree in accounting
  • Bachelor’s Degree in Accounting/Finance or a related field is a plus
  • Any related professional certifications are not required but are a plus

Environmental/Physical Demands:

  • Must be capable of lifting within regulatory limits
  • In accordance with customer site requirements, COVID vaccination may be required prior to entry.
  • This position uses standard office equipment such as computers, phones, photocopiers, etc.

Job Location: Farmington Hills, MI, USA only (a hybrid work schedule with regular weekly travel to the Farmington Hills, MI office is possible)
