Job Description

Hi, I'm Alex, partner and president of REI Network! 

As business grows, I am looking for someone to be my right-hand person and help me keep up with the demands and intricacies of running a company. I have assembled an incredible team to take REI to its next phase, but now I need someone to work directly with me to oversee all that we have set out to do. As my Executive Assistant, you will be a part of my business and personal life. I'll be relying on you to keep things running smoothly day to day so I can focus on growing the business, and you'll quickly become a very important person in my organization. As such trust is HUGE for me. Your main responsibilities will include:

  • Research and Information Gathering: I am often investigating different solutions or vetting potential partners for our business, and you will be in charge of conducting research to help us determine the best course of action. For example, I may ask you to collect proposals for a print piece we want to mail to our customers, ask you to put together itinerary options for an upcoming training trip for one of our teams, or ask you to prepare a report telling me all I need to know about blockchain technology. I don’t expect you to master these subjects, but you should be able to identify key information I need to know and paint a full, detailed picture of that subject.
  • Creating Systems: You'll be writing procedures and organizing them inside of our Google Drive, Company Wiki, or project management tool (Asana). You will ensure that processes get outlined accurately, files get named according to our standard protocol, and staff gets properly trained on those systems.
  • Reporting and data processing: I rely on A LOT of reporting to gain a clear view of how the business is doing and where it’s headed, so you’ll be in charge of generating and updating reports pulling in from different data sources on a weekly and monthly basis using Microsoft Excel or Google Sheets. While I don’t expect you to interpret those reports, you must gain a clear understanding of what those different data points mean so you feel confident in updating those reports accurately.
  • Presentations: I present a good amount, and you will be helping me to research and create presentations, including scripts and Powerpoints, formatting handouts, and working on excel spreadsheets.
  • Managing Email: If you have an inbox overflowing with hundreds of unread emails, then this position is likely not for you. This is because eventually you'll also be in charge of reading all of my incoming emails, tagging the critical ones that I should look at and handling the rest of them.
  • Calendar Management: You'll be in charge of managing all appointments for me during the day, dealing with the back and forth scheduling, handling cancellations, and ensuring I have all meeting info (agenda, time zone, directions, other person's bio, etc) so I can open appointment and GO!
  • Personal Items: You'll also be asked to help me with personal items. Perhaps I need help in booking a vacation and need tickets, hotels and research to make it all work. I may need to coordinate handyman and contractors locally. Perhaps I need to find and ship gifts for clients or friends.

Qualifications

Perhaps the most important thing of all is that you are someone who anticipates needs and are able to get the ball rolling on projects and requests to make sure that everything is ready for me to focus on what I need to be focusing. You need to be able to think ahead to anticipate any challenges I might face and come up with solutions ahead of time on your own.

This is an exciting job for someone who actually gives a damn… also for someone who is a go-getter and embraces change and growth.

Experience REQUIREMENTS:

  • Stickler for Detail: You have truly ASTOUNDING attention to detail. I'm a perfectionist, so you’ll need to fill in the details, and be absolutely anal about it. I need correspondence, emails, schedules, to all be as perfect as possible. Remember that you’ll be representing me and REI, so if an email has typos, I'll be very annoyed and it could cost me money.

  • Computer Literate, Particularly in Microsoft Excel: You must be very computer literate.... My entire business runs on technology.... That means that you have to be comfortable figuring things out when it comes to software and things on the web.

  • Excellent Written and Verbal English: You have to able to communicate extremely well in writing and on the phone. This means structure, proper use of nouns and adjectives, etc. Your ability to communicate precisely is very important to minimize error and make sure that we are being effective as a team.

  • Ability to Prioritize and Manage Time Effectively: You LOVE checklists! Your first instinct the moment you have a project in your hand is to create a checklist. You love guidelines and having everything spelled out in detail. You love organization and making sure that everything is exactly where it needs to be. You also HATE a messy desk or office.

Strong Preference:

  • Previous experience in a similar position [3-5 years]

Personality REQUIREMENTS:

  • Control Freak: I need somebody who is a little dictator. I do not want somebody that’s super sweet like “I’m a gummy bear. I’m so happy! I’m sticky sweet from my head to my feet!” NO! I want somebody who’s like “HEY! This is what I need. Get it to me!” And I'm like “Ahhh here you go!” You will be the overseer of order!

  • Quick Thinker: You must be able to think on your feet. You will often be asked to make decisions for me, so I'm looking for someone who is able to analyze the situation, consider the available options and repercussions, and make decisions based on the values I'll impart in you.

  • Doer: You are going to be asked to do things for me and work independently, so I'm looking for someone who is action-driven, not a procrastinator.

  • Passion: You absolutely ADORE what you do. This is important... No clockwatchers! Your focus needs to be on getting the job done--not getting the job done before the whistle blows. I’m a big proponent of work-life balance, and we live by that at REI. However, sometimes I have to sit and finish something after everyone is asleep so that I can push on our goals and deadlines... So you may also have to do the same.

  • Grit: You know you can do anything you put your mind to and you will get there no matter how hard you have to work at it.

  • Accountability: You own your work, no matter how big or how small. I’m looking for someone who can truly support me, not add more to my plate. This means that if I give you a task or project, I don’t have to ask you about it again or remind you to do it.

  • Curiosity: You know there’s always more to know, and a good day is when you’ve learned something new.

  • Team player: You understand that we're a team and success is a company KPI, NOT and individual accolade.

  • Trustworthy: For us to work well together, we need to be able to trust each other. I’m going to be sharing a lot of important and sensitive information with you, and I expect utmost discretion and caution in how you handle that responsibility.
