Responsibilities
In this role, the Administrative Assistant will:

  • Support the Quality Matters™ (QM) organization toward the achievement of the QM’s philosophy, mission, strategy, and its annual goals and objectives.  
  • Support the requirements of the Quality Assurance Department through the implementation of the strategic goals and objectives of Quality Matters™ largely by supporting course review services and related initiatives of Quality Matters.

 

Essential Duties

In fulfillment of the responsibilities, the Administrative Assistant will:

  • Assist with the management of Quality Matters course reviews.
  • Processes Course Review Applications
  • Create Tracking Sheets for each QM-Managed Course Review
  • Maintain a spreadsheet of course reviews and follow-up to keep course reviews on schedule.
  • Verify all necessary paperwork has been completed and issue course certification.
  • Submit tickets for stipend payments for master and peer reviewers.
  • Submit tickets for invoices for course reviews.
  • Respond to tickets requesting updates to course review numbers, course review names, resetting reviews to specific statuses, and other general updates.
  • Review and respond to requests for Course Review Extensions
    • Communicate with the institution and Chair of the review to determine the feasibility of an extension.
    • Ticket to pay the extension stipend and invoice the institution.
  • Communicate with current and prospective participants/institutions about course reviews.
  • Manage Internal and External Relationships
    • Coordinate with all relevant quality assurance stakeholders, as necessary to ensure Quality Matters standards, policies and practices are consistently applied.
    • Communicate information (via phone, email, website, etc.) regarding quality assurance products, services, and processes, as needed.
    • Represent QM Quality Assurance in all communications including meetings, webinars, phone conversations, email and conferences.
  • Maintain and report on course review data.
  • Update QM database with appropriate course review information.

 

Collaborate as a member of the Quality Matters Team.

  • Coordinate and cooperate with Quality Matters staff to ensure that QM’s mission, programs, products, and services are consistently presented in a strong, positive image to relevant stakeholders
  • Work with QM staff to meet the strategic goals and objectives.
  • Participate in weekly staff meetings.
  • Attend in-person QM conferences and any required organizational or planning meetings.
  • Other Duties as Assigned.

 

Qualifications

Required Qualifications

Self-starter, capable of being productive in a fast-moving virtual office environment with the following qualifications and desired skills:

  • 2 years of full-time equivalent experience in an administrative or customer service capacity.
  • Ability to multi-task with high attention to detail and strong organizational skills.
  • Excellent time management skills, including the ability to handle multiple tasks and meet deadlines consistently.
  • Strong work ethic with a high level of professionalism. 
  • Ability to work independently and as part of a team in a fast-moving, virtual work environment.
  • Must be a self-starter, capable of being productive in a virtual office environment.
  • Strong professional communication and interpersonal skills, particularly when engaging with members, partner institutions and participants.
     

Preferred Qualifications

  • Knowledge of online education and/or Quality Matters

 

Technology Proficiencies

  • Proficient in the use of a computer to develop spreadsheets, prepare reports, memos, and other documents.
  • Experienced in the use of Microsoft Office applications, i.e. PowerPoint, Word, Excel.
  • Ability to learn new software applications. 

Additional Information

QM operates a virtual office, and this will be a remote, home-based position.  Applicants must reside in one of the following states to be considered for this position: CT, FL, IL, IN, KS, MD, MI, MO, NM, NV, OH, OR, PA, SC, TN, TX, or WA.  You should also have access to reliable high-speed internet. 

The salary range for this position is $36,000-$45,000. We provide our employees with a competitive benefits package including medical, dental, vision, life, long-term disability, 401(k), 12 paid holidays, paid vacation and paid sick leave.

Work Environment and Physical Demands

This job operates in a telecommuting and/or home office environment. The work in this role is conducted primarily through the use of computers or computer-based and internet technology as well as other office productivity machinery such as a computer printer.  As such, the job is largely sedentary and requires continual and sustained operation of a computer.  The person in this position frequently communicates with peers, colleagues and staff in both synchronous and asynchronous modalities. Must be able to exchange accurate information in a timely manner. This role requires occasional travel to conferences and meetings.

This is a full-time, telecommuting position *At-Will* in nature and scheduled at 40 hours per week, minimum. The salary is based on (80) per pay period and requires synchronous availability during the core hours of 10-3, Eastern Time.
