Responsibilities

The Human Resources Coordinator provides administrative support to the Operations team under the guidance of the Manager of Administrative Services. The role will maximize operations efficiency over the long-term by creating and maintaining HR procedures and practices while overseeing a wide variety of HR responsibilities including employee onboarding, HRMS management, benefit coordination, and more.

Essential Duties

In fulfillment of the responsibilities, the HR Coordinator will:

  • Assist with the research, implementation, and oversight of HRMS software
    • Maintain and update all employee records
    • Track and verify employee PTO balances
    • Keep relevant HR-related policies and documents current and publicly available to all staff
    • Leverage the system to automate typical HR-processes, such as onboarding, offboarding, time off transactions, employee record updates, hiring, and other related tasks
  • Schedule candidate interviews, in coordination with the recruiter, hiring manager, and other members of interview panels
  • Manage Employee Onboarding
    • Obtain and verify new employee information and records
  • Structure and maintain the organizational chart
  • Coordinate and disseminate information related to benefit programs including medical, dental, vision, life, and long-term disability
  • Bridge employee relations by responding to and escalating employee requests as appropriate
  • Assist in the development and implementation of HR policies and practices that are fair and equitable
  • Manage internal and external relationships
    • Participate in meetings with Operations team and external HR consultants
    • Assist in developing and facilitating employee engagement activities and recognition programs
  • Collaborate as a member of the Quality Matters Team
    • Coordinate and cooperate with Quality Matters staff to ensure that QM’s mission, programs, products, and services are consistently presented in a strong, positive image to relevant stakeholders
  • Other Duties as Assigned

Qualifications

Required Qualifications

Self-starter, capable of being productive in a fast-moving virtual office environment with the following qualifications and desired skills:

  • One year of human resources or related experience
  • Experience with HRMS or database management
  • Commitment to confidentiality required
  • Extremely detail oriented
  • General knowledge of employment laws and practices or willingness to obtain this knowledge and stay current
  • Ability to work independently and as part of a team in a fast-moving, virtual work environment
  • Strong organizational skills and time management skills, including the ability to handle multiple tasks and meet deadlines consistently
  • Must have access to reliable, high-speed internet

Preferred Qualifications

  • Bachelor’s degree in business, human resources, psychology, or a related field
  • Previous experience in a non-profit setting
  • One or more years of virtual work experience

Technology Proficiencies

  • Demonstrated proficiency with Microsoft Office Suite
  • Cloud file sharing or collaborative software
  • Video conferencing software, Zoom
  • Google applications
  • Database management, Human Resources Management System (HRMS), Customer Relationship Management (CRM) software

Additional Information

QM operates a virtual office, and this will be a remote, home-based position.  Applicants must reside in one of the following states to be considered for this position: CT, FL, IL, IN, KS, MD, MI, MO, NM, NV, OH, OR, PA, SC, TN, TX, or WA.  You should also have access to reliable high-speed internet. 

The salary range for this position is $36,000-$40,000. This full-time, telecommuting position is At-Will, with a salary based off of a 40 hour work week, minimum, paid in biweekly increments. We provide our employees with a competitive benefits package including medical, dental, vision, life, long-term disability, 401(k), 12 paid holidays, paid vacation and paid sick leave.

Work Environment and Physical Demands

This job operates in a telecommuting and/or home office environment. The work in this role is conducted primarily through the use of computers or computer-based and internet technology as well as other office productivity machinery such as a computer printer. As such, the job is largely sedentary and requires continual and sustained operation of a computer. The person in this position frequently communicates with peers, colleagues and staff in both synchronous and asynchronous modalities. Must be able to exchange accurate information. This role requires occasional travel to conferences and meetings.

Regardless of physical location, all QM employees are required to be available to attend the synchronous core schedule of Monday through Friday, 10:00 am to 3:00 pm, EST and participate in weekly staff meetings. (Exceptions on a per case basis)
