Job Description

The Crest North America team is looking to hire an Assistant Account Executive, a critical role for very fluid and active piece of business. The Assistant Account Executive works closely with the Crest AE’s, greater account team, agency teams, and clients to coordinate all day-to-day operations of the clients’ advertising campaigns. Success in the role is defined by ensuring all account management fundamentals are flawlessly executed, so that the team is buttoned up and can function as seamlessly as possible across all projects. It is imperative this person is detail-oriented, likes working as and on a team and is positive!

General Responsibilities

  • Support with General Production/Creative Development
    • Assist with various needs that arise during creative reviews and productions, that include but are not limited to:
      • Product management for shoots
      • Helping with details like Talent and Location specs
      • Producer Request documents
      • Managing and tracking deliverables
      • Manage recaps as needed
  • eComm: Assist and ultimately lead briefing and managing materials related to eCommerce content and brand website
    • Understand eComm and website best practices and the process for executing and delivering work
    • Create task briefs for the creative or developer so they know what is needed for the project
    • Work closely with creative and integrated production team to manage projects
  • Talent Assist AE with and ultimately lead the Talent process to track all Talent Fees, talent terms / expiration dates, upcoming costs, etc.
    • Make sure talent estimates are always kept accurate according to latest media plans
    • Monitor actuals/accrued costs, vs. planned spends, on a regular/as-needed basis
    • Advise on usage terms as media opportunities are presented via the media team or client
  • Trafficking: Manages TV, print, and digital trafficking process including:
    • Work well with internal trafficking team and media team, fill out trafficking forms accurately and hand off correct assets, reviewing and advising on closed captioning
    • Work well with network clearance team to share materials for network clearance, and legal reviews
  • Budgets/Finance: Assist AE with and eventually own updating and tracking budget documents in order to make sure they are kept up to date, accurate, and thoroughly detailed. Ensures this is done consistently, so the team is able to make quick and effective recommendations to the client.
    • Main point of contact for all business managers, talent managers, production managers to ensure all Agency/Brand process is abided by in a timely fashion
    • Ensures all scope changes are entered into the system, signed/approved by the Brand in a timely manner, and are accounted for on latest budget tracker
    • Owns all Job # Request forms, to complete accuracy, to ensure other internal departments continue partner closely with Family Care account team
    • Manages monthly budget reconciliation process with finance and works closely with AE to ensure Brand team is kept up to date on latest Fiscal Year spends
  • Meeting Management: The AAE should always be the most prepared person in a meeting, complete with printed copies, all call-in information, any & all technical equipment and any reference materials needed for the meeting.
    • Accountable for majority of internal and client invites, including clear subject lines, intents/agenda, up-to-date dial-ins, all necessary attendees, and no typos
    • Proactively manages internal & client calendars with appropriate parties well ahead of upcoming meeting time needs to ensure all parties are secured for any given meeting
    • Quickly communicates any conflicts/challenges/new attendees to AE to ensure all internal parties are up to date before meetings start
    • Will ultimately own all statuses materials internal and external, proactively checking in with AE to ensure details are up to date, and leading share-outs with the client
  • Servers (LionBox, Sharepoint): Owner of the asset management systems in order to be the go-to person for any request from the client or the team
    • Ensures server is always up to date, orderly and automatically saving down all files (from creative briefs, brand presentations, internal debriefs, etc.)
    • Ability to quickly navigate and share latest documents, regardless of project, with team member in need
    • Knows brand assets in and out – what agency already has vs. not, and who to reach out to from the Brand in order to receive needed materials in a timely manner (e.g., logos, packaging files, etc.)

Qualifications

  • Required: a degree in marketing or a related field
  • Required: 1-3 related internship experiences
  • Preferred: CPG/Agency Experience
  • Preferred: Language: Bilingual (Spanish)
