Job Description
The Team Assistant is responsible for providing comprehensive support to Tier 3 personnel and Directors within the PMX and Performance departments, ensuring smooth operations within these teams. They will be an efficient and confident communicator, able to prioritize tasks with an agile approach whilst managing expectations. The position will require discretion, judgment, tact, poise, and the ability to be proactive. The Team Assistant must possess superb multi-tasking skills, excellent verbal and written communication skills, a productive approach toward work, and excellent time management.
Core Responsibilities
- Provide administrative support with high degree of initiative, confidentiality, and professional demeanor.
- Provide business travel support to the PMX and Performance directorship teams, including flights and accommodation - monitoring travel schedules, create travel packs, and provide back up plans as needed.
- Coordinate meetings and events - both client facing meetings and internal team events.
- Assisting with project management tasks
- Maintain confidential files and records using judgment and discretion.
- Handle internal and external correspondence; create reports and presentations, as necessary.
- Build effective, professional relationships with co-workers, and business partners.
- Excellent communication skills, working with multiple stakeholders across different departments.
- Proactive approach to business needs, forward thinking for the changing needs for the team.
- Liaising with 3rd party vendors on travel booking.
- Provide holiday cover to the EA/PAs within the teams - Maintain calendars using Microsoft Outlook. Schedule meetings using knowledge and good judgment of priorities.
- Order new starter tech including mobile phones. Create induction schedules and be a point of contact for their first day.
Qualifications
- Excellent time keeping and resilience to handle the fast-paced nature of this role.
- 3+ years of experience in administrative role supporting executive level employees.
- Proficient with Microsoft Office (Excel, Word, PPT and Outlook).
- Extremely positive attitude towards being a team player
- Excellent communication skills.
- Ability to multi-task and prioritize; demonstrate agility and flexibility.
- Strong organizational skills.
- Attention to detail and accuracy.
- Excellent relationship building skills.
- Ability to handle sensitive and confidential information with integrity.
