We have an exciting opportunity to join our Talent team here at Publicis Groupe, within the Global Media Talent team. Our Talent team, traditionally known as HR, is responsible in partnering with UK based Global teams ensuring that the needs of the business are met accordingly.

Talent is made up of experienced and passionate individuals who cover all elements of Talent - Talent Acquisition, Learning & Development, Talent Management & Talent Operations.

As a Talent Operations & Data Advisor, you will work with the Talent Advisor and be a crucial part in maintaining our high-performance standards, helping to continue to build a business which includes some of the best people in the industry.

In this fast-paced environment you will be the first point of contact for a range of operational Talent related queries from our employee population throughout the employee journey.  Although this element of the role is influenced heavily by the day-to-day admin needs, you will have exposure to all areas of our Talent team and will be encouraged to build on new ways of improving our processes to promote effective change. 

One specific area of responsibility and growth which spans all areas of our team’s work will be in managing and expanding the scope of our use of talent data to inform and support the business.  We anticipate that 50% of the time in this role will be dedicated to ensuring a strong provision of core talent data, creating talent dashboards including data for our UK based employees as well as those in non-UK markets including the US, Germany and Singapore. 

Job Description

 

  • Building strong relationships at all levels both within the Talent team and the wider Global business ensuring that each query is dealt with in a sensitive and timely manner.
  • First point of contact dealing with various ad-hoc employee queries, in person and via email, resolving issues in a timely manner and/or escalating where necessary (Payroll, Benefits, Holiday, Sickness, Contract paperwork, policy and processes)
  • Ownership of the onboarding process ensuring our new joiners have an exemplary start to their journey at Publicis Groupe
  • Processing and managing all new joiner paperwork requesting employment references, tracking and uploading employee documents (contracts, visas, payroll info), then handing over to Payroll
  • Processing and communicating with employees supporting the leaver process
  • Monitoring employee absence through our system and ensuring all employees are logging absences and highlighting to the Talent Advisor where necessary
  • Coordinate and administer the probation process from start to finish and escalating to Talent Advisor where needed (extensions and probation failures)
  • Ensure that we are compliant with our Right to Work documents by recording passports and visas and highlighting to Talent Advisor for upcoming expiry of visas
  • Ensure integrity and accuracy of data and systems, and all employee documents/records are compliant, up to date and accessible online (contracts, passports and visas)
  • Partner with Talent and the Business to develop people metrics & reporting solutions
  • Coordinates data and reporting requirements and solutions with Talent, Finance and Business Operations
  • Working with Finance ensuring all invoices and POs are provided accurately and in a timely manner
  • Support on Talent projects as and when required, general ad hoc tasks to support wider team & upskill personal experience
  • Creating and maintaining appropriate systems to manage and present talent data including the development of global talent dashboards as well as any reports, trackers, spreadsheets required for day-to-day operational needs.

Qualifications

  • A thorough understanding of operational HR processes for system onboarding and lifecycle management
  • A passion to provide an excellent service for our people
  • Highly detail oriented and highly organised with the ability to be able to handle a varied workload
  • Able to multi-task with a strong ability to prioritise tasks
  • Able to work under pressure and adapt to ever changing tasks in an agile manner
  • Excellent communication skills
  • Preferred knowledge of Success Factors, however essential that you understand HRIS/HR systems/databases 
  • Proficiency with Excel, Word, PowerPoint 
  • Experience with PowerBI would be a big plus
