Job Description

This newly created role is an exciting opportunity for a Junior PA or Team Assistant to become part of our thriving agency. Within this role as a Team PA, you will support the CoLab International Leadership team, comprised of 4 team members, ensuring smooth running of the respective day to day operations. This team work in a Power of One way across multiple Publicis Groupe agencies and countries across the globe (excluding US).

You’ll have a varied role which will involve interaction with clients/partners and Publicis colleagues, diary management, managing expenses, general administrative support, travel booking and coordination and you’ll also have responsibility for organising key meetings, events, some of which are offsite. You will be representative of senior management and will often be exposed to sensitive and confidential information in this trusted position.

Key responsibilities:

    • Manages calendar and inbox of key leaders to ensure smooth running of the business (if / when required)
    • Manages and maintains executive schedules, appointments, and travel arrangements
    • Arranges and coordinates meetings and events (internal as well as external)
    • Owns coordination of regular meetings such as client face to face meetings, QBRs, Internal team meetings
    • Orders and prepares materials for meetings, including room bookings & catering requests
    • Preparation and submission of expenses
    • Organises and takes minutes for key meetings, as required
    • Drafts internal or client communications when needed
    • Liaises directly with clients on behalf of the company to organise meetings and calls
    • Builds strong relationships with other EAs and administrators across the Groupe (including the CEOs office), and steps in to provide support/cover when needed

Qualifications

To be successful in this role, you’ll need to be a pro-active self-starter, and someone who’s used to working in an autonomous style. You should have some prior experience of working with senior leaders, and be calm and collected when working to support more than one person within the business.

Key requirements:

  • Previous experience working in a similar Team Assistant/PA role at a junior level
  • Experience of working within a marketing/advertising/creative agency would be preferred
  • Advanced MS Office skills and comfortable using a PC
  • Able to effectively manage relationships with all different levels of people
  • Calm and professional at all times, even under pressure
  • High levels of accuracy and attention to detail
  • Ability to handle confidential information with discretion
  • A positive and professional attitude, always leading by example

Please note: Publicis Groupe operate a hybrid working policy whereby you are required to work from the office at least 3 days per week (including Mondays).
