Job Description

We have an exciting opportunity to join our UK Talent Operations team (HR) as a Talent Coordinator. The Talent team is made up of Talent Operations, Learning and Development, Employer Relations, Talent Acquisition, Reward, Talent Partnering and DE&I. Our Talent team, traditionally known as Human Resources, is responsible in partnering across our dedicated brands. You will play a vital role in supporting the business and wider Talent team by acting as the first point of contact for various Talent queries, promoting and delivering a great Talent experience. From supporting initiatives that attract the best talent from diverse backgrounds and on-boarding new recruits, to enhancing the employee experience throughout their employee lifecycle.

The head office is based in London and there will be a requirement to be in London 3 days per week. Your remaining 2 days per week will be working from home. At Publicis Groupe we are passionate about flexible working so the opportunity to work from home is part of what we do.

Key Responsibilities 

  • Building strong relationships at all levels both within the Talent team and the wider agencies.
  • First point of contact dealing with various ad-hoc employee in person and email queries, resolving issues in a timely manner and/or escalating where necessary including payroll, benefits, holiday, sickness, Talent systems and other.
  • Managing employee lifecycle for our employees and managers, including:
    • Onboarding of new starters and leavers.
    • Changes to terms and conditions of employment.
    • Maternity, paternity, and other special leave entitlements etc.
  • Delivering an all-round world class employee experience.
  • Management of our systems ensuring that employee data information is up to date and accurate, as well as in line with GDPR guidelines. Including joiners, leavers, Right to Work data etc.
  • Supporting Talent Management with ER meetings with note taking.
  • Offering high standard transactional support services to internal customers within agreed SLAs.
  • Collaborating with Payroll and Benefits team to complete pre-payroll administration for employees.
  • Supporting Benefits team with benefits administration, including various enrolments and record maintenance.
  • Coordinating and administering the probation and performance review process from start to finish and escalating to Talent Advisor where needed.
  • Ensuring the holiday and absence recording is adhered to and any patterns are highlighted to Talent Advisor where needed.
  • Ensuring that we are compliant with our Right to Work requirements for new starters and expiring Right to Work.
  • Inputting all invoices and POs accurately in a timely manner if applicable.
  • Striving to constantly upgrade live processes and procedures, service delivery and customer experience.
  • Collecting and supporting the analysis of people-related data, such as new joiner questionnaires and exit interviews.
  • Identifying challenges and improvement opportunities, working with the team to successfully implement recommended changes.
  • Providing training on Talent Operations tasks as needed. 
  • Supporting the delivery of Talent strategy through occasional project work, testing and research.
  • Contributing to Talent Operations and Publicis Groupe culture.

Qualifications

  • Previous experience in a similar role and demonstrable Admin/ Assistant experience is desirable.
  • A brilliant communicator with the ability to understand and work with complex information.
  • Naturally discreet, operate with integrity and trust.
  • Resourceful in your approach to problem solving.
  • Detail oriented and accurate, focussed on delivery and quality.

  • Previous experience using HR systems and experience of HR database is desirable.
  • A strong desire and passion to provide an excellent service for our people.

  • Confident with using Microsoft Office (Excel, Word, PowerPoint, and Outlook).

Publicis Groupe operates a hybrid working pattern with employees being office-based on Mondays and two other days during the working week.
