Job Description

We are looking for a Senior Project Implementation Leader to join our team. Please review the list of responsibilities and qualifications. While this is our ideal list, we will consider candidates that do not necessarily have all of the qualifications, but have sufficient experience and talent.

Responsibilities:

  • Project Leadership at the execution level, with the potential to sit on-site with Client.
  • Holistic project execution for agency and client including internal processes.
  • Work closely with Production Management and/or Project Leadership and engage in internal and external client meetings and/or calls.
  • Potential for direct reports where applicable.
  • Maintain visibility and connectivity across multiple processes to effectively manage within the work.
  • Assist in functional training of new hires across aspects of Project Implementation roles and responsibilities.
  • Foresee and respond to potential problems or issues quickly, partnering with appropriate cross-functional team members to proactively solve.
  • Elevate problems or issues to Project Leadership Director as needed for leadership awareness and support.
  • Think and act cross-functionally specifically to agency, client teams and supplier needs and processes.
  • Contribute on a strategic level by understanding client, brand, and retailer challenges and opportunities.
  • Own maintaining a thorough documentation of communication for all projects in Asana/Webvantage/Teams as it pertains to the Project Implementation Team.
  • Understand how to utilize Saatchi & Saatchi X resources, ensuring that proper representation is brought together for work/projects.
  • Understand key operational functions and timing to better level set expectations.
  • Engage in internal and client project alignment meetings to provide executional recommendations in partnership with Production Management and the Wendy’s Execution Team, as it relates to individual projects and/or overall kit needs.
  • Support and drive clarity in job communications.
  • Work with Project Leadership and Project Implementation in identifying all tactics needed within each project/kit, including all file versions.
  • Lead client conversations relating to kit needs, including project schedules, deliverables updates, vendor requirements, etc.
  • Support Project Implementation Manager with all client and vendor deliverables calls.
  • Maintain holistic understanding of the process to identify when change in direction, scope, etc. will affect production time and costs, warranting consideration of a change order and the next steps associated.
  • Provide on-going status updates, keeping Production Management and Project Leadership informed at all times. 
  • Assist with the build of full schedules at the onset of the job with stem to stern management to ensure each milestone is completed. Schedules should be proactively managed and updated as project evolves. Changes to key milestone dates should be communicated to the project team members. 
  • Manage the art out process by ensuring necessary documents are accurately updated and creative has been approved before the art goes to Premedia to be released to vendor.
  • Communicate regularly with Premedia on die lines, specs, etc. in partnership with Production Management.
  • Support Project Implementation Manager with mechanical management and file proofing to ensure timely and accurate file release.
  • Provide direction and support to the Project Implementation Manager with file/asset requests from client and vendors.
  • Assist Production Manager with vendor proofs, samples and other production related deliverables.
  • Evaluate all missed deadlines and ensure proper documentation is in place.
  • Support the Production Manager when partnering with Creative and Client to bring concepts to life (from a feasibility standpoint).
  • Own the documentation and communication of opportunities and potential process oversights that coincide.
  • Assist Project Implementation Manager and Project Leaders with deliverable entry into to the vendor portal, driving kit accuracy.
  • Successfully backfill Production Management, Project Leadership, or Project Implementation Manager when they are out of the office to ensure that project work continues to run smoothly.
  • Own and/or assist Production Management with vendor management on assigned projects within specific area of execution competency, including die lines, cutting PO's, product samples, prototype management, art-out, vendor proofs, and final invoicing.
  • Assist Production Management and Project Implementation Manager with acquiring comprehensive and accurate estimates for all outside costs, including commission if appropriate, for all production projects.

Qualifications

  • Bachelor’s Degree in Marketing, Advertising or a related field
  • Preferred four to six years experience demonstrating the knowledge base and skill sets of duties and responsibilities as described above.
  • Ability to teach, train and coach in the work, with positive influence
  • Demonstrate excellent organization and strong communication skills
  • Possess strong process and operational attributes
  • Be detail-oriented
  • Ability to multi-task, delegate and work with minimal supervision
  • Demonstrate strong interpersonal skills  
  • Prioritize and re-prioritize quickly
  • Basic understanding of production technologies and techniques
  • Ability to represent agency and client on-site with vendor partners
  • Ability to determine the full needs of a project from kick-off to delivery
  • Strong Microsoft Office Suite skills (mainly PPT & EXC) and basic navigation of INDD
