Job Description

This position is a 14-month Fixed Term Contract.
As the Talent Coordinator for the production practice, you will be the main point of contact for everything people related. From supporting initiatives that attract the best talent from diverse backgrounds and on-boarding new recruits, to supporting the development of our people and gathering insights from those who are moving on to the next part of their career journey. You will be part of a dynamic team that is dedicated to making it the best place to work and the best agency it can be.  

You will be part of a small team of Talent Management specialists focused on specific production agencies within the Publicis Groupe network. You will have the unique opportunity to gain the exposure to business leaders that comes with being in a small team whilst having access to a variety of Talent experts and collaborative projects, as part of the much larger Publicis Groupe team. Key Responsibilities   

  • You will be responsible for building strong relationships at all levels and, as you learn our processes, become the ‘go to person’ for all day-to-day People/HR enquiries and requests. 
  • Coordinate on-boarding and off-boarding process. Including helping line-managers to plan inductions, running the induction day, maintaining supplies for welcome packs and ensuring a best in-class experience is delivered along all touch points of the new joiner and leaver process. 
  • Collect and support the analysis of people-related data, such as Employee Engagement Surveys, New Joiner questionnaires and Exit Interviews.  
  • Ownership and management of initiatives and projects e.g., DE&I, early careers, employee engagement & internal virtual training programmes or something else that we haven’t even thought of yet. 
  • Support with the co-ordination of the hire approval/recruitment process. Including pro-active communication with the recruitment team, managers, Talent and Finance teams, as well as maintaining vacancy and approval trackers. 
  • Manage administration for all elements of the employee life cycle including preparing and collecting documents for new joiners, leavers, promotions, title changes, obtaining references, verification documents and issuing contracts. 
  • Manage administration of contracts for freelancers, in line with IR35.  
  • Responsible for input of all data into the HRIS platform and managing administrative tasks for the team, to ensure all people changes are reflected in the system and on the payroll. 
  • Responsible for maintaining HR records including organisational charts and employee files in line with GDPR. 
  • Responsible for helping to communicate and promote the company benefits, and, as you learn the policies, answering staff queries and requests relating to the benefits. You will also continue to look at ways we can improve and better communicate our benefits package to employees. 
  • Basic financial management - e.g. raising departmental PO’s, setting up departmental vendors, and liaising with the Finance team to pay suppliers. 
  • Ensure annual reviews and probation reviews are happening for all employees. You will answer any queries on the review process and make sure employees are set up and effectively using the appraisal system to develop their capabilities. 
  • Take an active role in our DE&I Initiatives or other morale boosting initiatives to create a great culture to promote a working environment that remains attractive to our employees.

  • A strong desire to develop a career in Talent (HR) and build a long-term career within Publicis Groupe 

Experience and Qualifications 

  • This is a role designed to give talented people with some experience and a keen interest in HR the opportunity to get on that all-important first rung of the career ladder. 
  • Candidates will be judged on their ability to do the role, not the qualifications they have. There are many brilliant opportunities to learn in this role and a career in HR can offer the opportunity to study and work further down the line, so university or college is not the only route to success here.
