This is a great opportunity to support 3 of the Managing Partners who are part of the Langland Senior Leadership Team and ad hoc duties helping the wider team.
To be successful in this role, you’ll need to be a self-starter and someone who’s used to working in an autonomous style. You should have prior experience of working as a team assistant or administrative assistant.

A cool, calm approach is essential, and you’ll need to have excellent communication skills to succeed in this role as you will have to work with senior managers and employees alike. As well as your immediate team, you’ll need to work with other teams within Publicis Healthcare and Publicis Groupe, so it’s important that you can build rapport and relationships with people. In addition, you’ll need to have strong organisational skills as you’ll be supporting several processes and procedures which will require you to always be thinking one step ahead.

Job Description

• Diary management and scheduling, working to tight deadlines across multiple geographies and time zones.
• (Pro-)actively managing calendars, resolving conflicts, blocking space for desk time, and rescheduling meetings on own initiative
• Liaising between clients, Managing Partners, and the wider business to deliver to deadlines.
• Organising travel - domestic and international travel to include flights, hotels, taxis etc.
• Preparation of materials for client events and meetings.
• Proof reading and formatting documents for internal and client use.
• Dealing with confidential matters in an appropriate manner and with integrity
• Managing expenses ensuring they are submitted in a timely manner
• Supporting social events for the disciplines/ whole company
• Creating PowerPoint presentations for company meetings
• PowerPoint support for client meetings – formatting/ collating slides
• Assist and support the admin team during colleague absences

Qualifications

• You’ll have prior experience of working as an administrative assistant, ideally working closely with more than one key business leader
• We need you to have advanced Office skills and be comfortable using a PC
• You’ll be able to effectively manage relationships with all different levels of people
• You’ll remain calm and professional at all times, even under pressure
• You’ll be able to handle confidential information with discretion
• You’ll have a positive and professional attitude, always leading by example
• You’ll have good attention for detail and accuracy
• You’ll have exceptionally strong verbal and written communication skills
• You’ll have excellent organisational skills
• You’ll exercise good judgement and decision-making ability
• You’ll have a desire to improve things and to deliver results
