Job Description

We are looking for a Business Affairs Assistant to join us as part of the ‘CaST’ team. CaST is GSK's own ‘Creative at Scale Team’ and is run by a dedicated crew of in-house production professionals. Working together with Haleon* brands, CaST produce and amplify campaign content that is more relevant, more tailored and more personal for their customers, consumers and experts.
*Haleon is the new name for GSK consumer brands.

The Business Affairs Assistant is a newly created position with the aim of supporting the wider EMEA and Global teams with the administration and coordination of talent rights. This will involve actioning required creative checks on client briefs, liaising with production teams, working through project billing and managing all associated job duties. Reporting into the Head of Business Affairs, working closely with the BA Coordinator and successfully assisting the wider business.

Responsibilities

  • Build and develop successful relationships with the entire CaST team; primarily focusing on BA, Project PMs, Producers and Finance colleagues.
  • Work closely with our global hub in India and service layer in Poland to become the first contact for any adaptation or localisation query relating to Business Affairs.
  • Attend status calls/meetings to identify the schedule and timings of adaptations and localisation of projects (i.e. build a complete picture of a campaign in order to track the pipeline and key deadlines to note.)
  • Obtain project timings and carry out rights checks to ensure that underlying music and talent rights are covered for our requirements.
  • Triage briefs where necessary and route to the correct global teams; work as the liaison between the production teams and wider BA group where required.
  • Draft CaST estimates for Business Affairs if needed; compiling quotes, creating estimates and sending to seniors for approval.
  • Raise and process any required purchase orders, invoices and new vendor setups – liaising with billing and finance teams for further action.
  • Any other ad-hoc duties including department administration (managing the team status and rights management trackers) and any shared drive IT maintenance.

Core experience and skills

  • Any previous experience of working in the advertising sector (and particularly a Business Affairs team) would be useful but it is not a prerequisite.
  • Attention to detail is second nature; extremely well organised with an understanding of the importance of accuracy in this field.
  • Excellent communication skills with the ability to convey information clearly and accurately to a range of stakeholders.
  • A team player that is keen to try a ‘hands-on’ role in an expanding organisation and experience different facets of a global business.
  • Enthusiasm for the day-to-day duties of the position as well as playing a key role in the wider department and team.
