Job Description

As a Project Coordinator, you are responsible for assisting Project Managers and Sr. Project Managers in the management and delivery of a wide variety of client projects (digital, media, email, direct mail, strategy, etc.).   

Responsibilities:
Maintain key project information, including status, schedule progress, employee assignments and other information in identified FKA documents and tools
Maintain client notebook with client approvals, creative rounds, schedules, quotes, briefs, and any other critical project documents
Work with departments and Project Managers (PMs)/Sr. Project Managers (Sr. PMs) to estimate project costs and prepares client quotes with review/approval of Account team
Work with Account Services to ensure client signoff at key points during the project
Schedule and facilitate project-related team meetings 
Assist PMs/Sr. PMs in the day-to-day management of the project from initiation through implementation and deployment to ensure work is progressing as planned
Assist with documentation, circulation and gathering approvals for project change orders
Assist PMs/Sr. PMs in managing schedules and budgets to ensure that requirements and project deliverable dates are clearly communicated, understood, and executed upon
Route key project documents including schedules, briefs, creative rounds, job matrices or other documents to internal staff as required
Follow FKA project management methodology and processes/procedures
Provide support to PMs/Sr. PMs as required in the areas of document creation/management, status documentation, schedules, or other tasks
Generate postage invoice requests and releases and coordinates postage payment to vendors; reconciles postage accounts
Conduct regular review of hours for assigned projects
Collect department billings upon completion of project and submits final billing documents in the cost folder to Accounting for client invoicing
Manage assigned client projects, typically projects with minimal new strategy or creative development, under the direction of Project Managers or Senior Project Managers
Accurately and consistently reports all time worked in time tracking tool

Qualifications

You have a bachelor's degree or equivalent work experience preferred
You have internship or prior work experience supporting projects in an agency environment preferred
You have strong multitasking skills
You have excellent oral, written, and interpersonal communication skills
You have excellent organization, time management and prioritization skills as well as attention to detail
You have demonstrated an ability to work with and support cross-functional project teams
You can work in a flexible, dynamic, and fast-paced environment
You have ability to work on multiple projects at one time
You can understand and document project requirements and dependencies
You have a deep understanding of business and functional requirements
You are highly motivated self-starter, with a positive can-do attitude
You are client-service oriented 
You are knowledgeable of web, social media, mobile, email and banner technologies (plus)
You are knowledgeable of software development lifecycle (plus)
You are knowledgeable of project management methodology (plus)
You are proficient in Microsoft PowerPoint, Excel, Word, Project, and Visio.
