Job Description

Position summary

The Conill Associate Project Manager (PM) is the internal steward primarily of small- to medium-sized projects, leading across all disciplines. The PM’s goal is to ensure timely input from subject matter experts for the successful delivery of the completed project. Equal parts planning guru, problem solver, team leader and relationship builder, the oversees the management of strategic, conceptual and production phases of high complex multi-channel projects across all disciplines by fostering a culture where team members connect. Project Workflow Management

  • Manages small-to-medium-scale projects with various disciplines and stakeholders. Leads large-scale projects with the assistance and support of the Senior Project Manager.
  • Is present throughout entirety of the project, from initiation through closing. Assists in the concepting phase of projects, maintaining this role through production and delivery.
  • Seeks a thorough understanding of assigned disciplines. Accurately and consistently follows department and agency process and best practices.
  • Informs and controls project workflow, tactically managing day-to-day project operations. Structures and manages internal, multi-track projects, including
  • Management of project timelines and scheduling via SmartSheets
  • Confirmation of creative staffing with Creative Services Manager
  • Scheduling of internal planning meetings, including Kick-off meetings and Internal Creative Reviews presentations 
  • Coordination of projects to ensure on-time/on-goal project delivery
  • Management of internal creative assets, organized via LionBox
  • Routes layouts, copy, content decks, images, proofs, etc. for internal approvals to ensure internal quality controls are being met. Responsible for obtaining creative approvals, facilitating the routing of assets through proofreading, Business Affairs, Legal, and getting final production assets from Producers.
  • Facilitates management of translation and proofreading requests of assigned projects via Airtable.
  • Manages final project assets, ensuring they are uploaded and archived into Lionbox and uploaded into TMNA AdPlanner. Polices server structure to ensure that assets and files are uploaded and archived properly within Client folders.

Project Time Management

  • Ensures projects work start on time, with appropriate information and appropriate team members.
  • Ensures projects stay on schedule, communicating deadlines to team members. Understands processes and ensures the resources to meet deadlines. Tracks issues and works with team members and stakeholders to manage impact to project.
  • Proactively obtains and effectively communicates project status and next steps in alignment with project plan.

Project Initiation and Scope

  • Participates in internal scope process of new projects and owns any required documentation.
  • Understands the needs and deliverables for all projects tied to the campaign assignment—timing, budget, requirements—and how they affect the approved scope as determined by the Account partner.
  • Enforces effective change control, managing documentation of change requests.
  • Works to manage and mitigate scope impact with appropriate team members, knowing to escalate dramatic scope impact to Director of Project Management and Account leads.
  • Partners with other disciplines to inform on project budget impacts and dependencies.

Project Communication/Integration Management

  • Manages project communications internally and between all departments. Communicates directly with individual team members to reiterate scheduled deliverables, relay revision requests, record the job’s progress, and address obstacles as they arise.
  • Brings about transparency in communication through on-going communication and dissemination of project HotSheets to ensure that projects are operating smoothly and on schedule. Proactively obtains and communicates project status and next steps.
  • Recaps agreements and next steps from certain internal meetings, decisions, and deliverables in writing, including due dates, internal direction and documented history, sharing with Accounts to disseminate to the team.
  • Identifies integration check points to facilitate collaboration between internal departments involved in the creative development process, including Social and Production.
  • Documents, elevates and communicates implications if deadlines are missed or processes are not followed. Mitigates plan so projects stay on track.
  • Facilitates weekly status meetings with core internal project teams, as necessary.
  • Informs Senior Project Manager of progress on projects and raises concerns as necessary.

Qualifications

  • Production knowledge a must. Digital experience preferred.
  • Proficient with Internet and email applications, MS Office Suite, Basecamp, Smartsheets.
  • Able to work extended hours, including weekends, as required.
  • Able to work well under pressure.
  • Highly organized.
  • Skilled multi-tasker.
  • Maintains a positive attitude.
  • Highly motivated to seek solutions.
  • Bilingual English/Spanish is preferred.
  • Minimum 2-4 years well-rounded project management or production experience required. Cross-discipline experience is a plus, especially broadcast, digital, social.
