TALENT SPECIALIST

Leading production and post-production facility is seeking a Talent Specialist to assist with our recruitment and mentorship initiatives. The ideal candidate should possess the ability to manage multiple and competing priorities while executing coordinating tasks flawlessly. The Talent Specialist will have exposure to sensitive and confidential information necessitating diplomacy, discretion, and sound judgment. This role involves administrative support, scheduling interviews, and coordinating next steps for candidates and hiring managers. The Talent Specialist will report to the Talent Operations Director, supporting all departments globally for HARBOR.

Job Description

Responsibilities include but are not limited to the following:

Candidate Experience

  • Conduct prescreen calls, schedule interviews, negotiate salaries, collect feedback, and facilitate next steps in the hiring process.
  • Communicate efficiently with candidates, keeping them posted with any updates from their initial application throughout the offer stage.
  • Work with the HR & Engineering teams to ensure a thorough onboarding experience to set up new hires for success.
  • Improve recruitment pipeline by adding strong candidates to our database for full time and freelance consideration.
  • Develop, drive and execute new talent strategies and find talent for specialized roles.

Systems & Reporting

  • Help build talent database and add new candidates to Airtable on a daily basis.
  • Refine job descriptions and post jobs on Smart Recruiters, Linkedin, and other job platforms.
  • Review applications and share candidates with hiring managers to fill open roles.
  • Conduct specialized searches to source for new talent with niche skillsets.
  • Input relevant data and oversee approval workflow for all job requisitions.
  • Send weekly updates to Department Leads on new or potential candidates.

Diversity, Equity and Inclusion

  • Source talent and build our network with candidates from all backgrounds to enhance our inclusive hiring process.
  • Support mentorship initiatives and collaborate with the Marketing team for student presentations or workshops.
  • Help plan and attend networking events to strengthen our DEI initiatives.

Talent Operations

  • Internal communication for upcoming events, HR updates and training opportunities.
  • Provide onboarding support, quality control, and ensure internal teams are prepared to set up new hires for success.
  • Other duties, as required and assigned

Qualifications

Required qualifications and background:

  • 1 – 2 years of experience in administrative support, coordinator role, or internship.
  • Experience with Outlook, Google Suite, Airtable, Canva
  • Proficiency in MS Office applications (Word, PowerPoint, Excel)
  • Strong interpersonal and communication skills
  • Detail-oriented, ability to prioritize and organize work
  • Ability to maintain complete and accurate staffing documentation, as required by law, in accordance with department policy and procedures
  • Technically savvy, with the ability to quickly pick up and understand new tools and technologies.
