Manager, Project Management (Media Project Manager)

The Media Project Manager leads timeliness and efficiency of projects and programs on their assigned client team.

This individual is responsible for the creation of a thorough project plan all the way to its successful completion based on information provided by the clients and strategic integrated briefing materials. He or she owns the process from inception to completion, including project set-up with clear parameters, creation of project schedule with team alignment, managing cross-agency resources for all deliverables, raising red flags as issues arise and ensuring adherence to the approval process, and delivering high quality work to brief on time and on budget.

This position will lead project management for above and below the line advertising deliverables and include working closely with the cross-functional team of media strategy, media activation, analytics, technology, creative and other teams as required.

Job Description

What you’ll do - As a Manager on the Project Management team, you will:

  • Develop and keep up to date project plans and schedules, internal status, and client facing status documents
  • Ensure integration across agency teams at each step of the process 
  • Complete project set up activities including timelines, critical paths, RACI(s), final list of deliverables, etc.
  • Set up and maintain folders on shared Box server to house all program and project documentation; manage access to these folders
  • Input project information into all project management tracking documents (status documents and trackers, etc.).
  • Schedule and lead project kick off meetings (as it relates to schedule, folder structure and location, scope of assignment, creative asset particulars, etc.)
  • Initiate and conduct internal review meetings based on project schedules
  • Initiate and conduct team status meetings, including documenting and communicating risks and issues for internal purposes.
  • Maintain daily communication with cross-team members on all projects to determine and understand daily project status and generate daily hot sheets if needed
  • Coordinate and ensure quality processes and flag all issues or new opportunities for efficiencies and improvement

Timeline Management

  • Development, management and maintenance of integrated project inclusive of all functional groups
  • Communicate and enforce campaign timing
  • Track and report on campaign progress
  • Manage and communicate any campaign execution risks
  • Communications Management
  • Ownership of statuses, communication channels, meeting recaps, and tools/services to deliver project needs
  • Capture actionable next steps, send out recaps and follow-up on next steps

Risk Management

  • Identify and outline possible risks and mitigation strategies
  • Communicate risks to project team as soon as identified

External Partner Coordination

  • Acting as liaison with creative AOR, PR agency, etc

Financial Responsibilities

  • Work closely with project management Leadership as necessary on fee and out-of-pocket estimates, budget, and financial reporting/tracking

 

Qualifications

We’re looking for strong, impactful work experience, which typically includes:

  • Bachelor’s Degree in Marketing, Communications or another similar field
  • 3-5 years’ experience in Project Management
  • Previous Account or client-side experience is a plus
  • Strong leadership skills
