Job Description

The Event Coordinator is responsible for assisting the Investments + Partnership team in all aspects of event and programming support by serving as support on tent-pole and large-scale events. This position will work directly on all events, coordinating specific pieces as assigned by the VP, Programming & Events manager. Event pieces may include event registration website creation and management, social media, reporting, and presentation creation. This is primarily an internal-facing role and will have client contact primarily during events.

• Work with VP, Programming & Events to initiate, build and/or maintain event registration web sites related to applicable events
• Assist with celebrity and speaker coordination
• Assist with sponsor asset management
• Sourcing & vendor management
• Track and manage client invitations, registrations and other event administration tasks
• Provide attendee reports on a regular basis
• Support other members of the Investments + Partnerships team when applicable, both on-site and pre-conference in the following capacities: speaker management, one-on-one meeting coordinator, data entry, social media, etc.
• Invoice management and payment reconciliation

Qualifications

 

• Proficient project management skills
• Experience with meeting and special event management tools such as Cvent or Bizzabo
• Good ability to establish relationships and maintain a positive rapport with clients, partners and suppliers
• Excel, SmartSheets, PowerPoint and Microsoft Office proficiency
• Resourceful and creative problem solver
• Able to take direction and run with it
• Excellent verbal and written communication
• Strong adaptability to situations and ever-changing demands
• Highly organized with ability to handle multiple tasks to meet strict deadlines
• Excellent time management skills
