Job Description

Overview:

The Senior Associate will be accountable for timely and accurate processing of all employee record updates and act as first point of contact for general employee inquiries.  The Associate will partner closely and be a key liaison to employees with respect to all benefit and payroll issues.  In addition, the Associate will provide administrative and project management support to the Associate Director and team as needed.  Lastly this position will partner closely with the Talent Managers(s) and Recruiting Coordinator to ensure back-up support for both roles as well as a seamless onboarding experience for our newly hired employees.

 

Role Objectives:

  • Provide Accurate and Timely Data Management of all Employee Records:
  • Create and process transfers, separations, promotions, hires, etc. on a timely bases
  • Enter information accurately into Career Settings (CS) and work with payroll to ensure all information received on time
  • Obtain signatures/approvals from finance and sending all paperwork to payroll
  • Process tuition reimbursement and officer reimbursements
  • Audit CS transactions that are entered by payroll to ensure accuracy and proactively resolving any data errors
  •  
  • Create and Maintain Tracking Processes/ Audits and Provide General and Custom Career Settings (CS) Reports:
  • Run reports out of CS and proactively providing to appropriate internal teams (ie, Finance, HR, etc).
  • Track lateral transfers, severance agreements, intra-company mobility, letters of agreement, etc.
  • Send out separation information and transfer emails to employees
  • Complete audits and manage processes including but not limited to:
  • Letters of agreement; separation agreements; supervisor data; distribution lists; and transfer data
  • Manage Onboarding process and conduct orientation:
  • Partner with other members of HR team to present new hire orientation sessions
  • Collect and review for accuracy new hire paperwork/I9’s accuracy
  • Proactively update orientation materials as needed and make recommendations for changes/improvements to orientation process and programs
  • Serve as key contact for new hires for all onboarding inquiries
  • Maintain HR related postings and access to company Intranet:
  • Post documents and updates to company intranet
  • Maintaining company discounts and tracking information for various company perks
  • Add and remove employee access to Brand
  • Manage administration around specific HR Policy/Forms:
  • Manage maternity leave process in conjunction with benefits
  • Collect parental leave forms, matching gift, health and wellness form, etc and send to correct contact
  • Track employee accrued but unused timeoff and benefit leave information for terminating employees

Additional Responsibilities:

  • Act as first point of contact for general requests for employees across all offices; answer questions and direct employees to correct resource especially for new hires, terms and those going on personnel/medical leaves.
  • Provide verbal/letterhead employment verification
  • Connect employees to benefits / payroll department for specific inquiries
  • Coordinate logistics for anniversary program and training sessions
  • Provide project management and administrative support, coordination and planning efforts for on-site activities
  • Serve as right hand resource to senior leads on HR team, as needed

 

Minimum Qualifications:

  • Bachelor’s Degree (required), preferably in a related field of study such as Human Resources, Training, etc.
  • 3-4 years or more of relevant work experience, including internships in Human Resources or related areas
  • Proficient with MicroSoft Word, PowerPoint, and Excel (required); Advanced Excel highly desired
  • Strong written and verbal communication skills
  • Successful experience multi-tasking and prioritizing
  • Superior detail orientation and organizational skills and act with sense of urgency when required.
  • Resourceful, able to work independently and take initiative to anticipate and respond to employee/HR team needs.
  • Experience navigating organization to find right solution and know when to raise issues to manager(s) for guidance.
