Job Description

Maintain employee files

·       Gather new hire documents and check for completeness and proper signatures

·       File documents

·       Develop knowledge of brand, pillar, and Groupe forms – advise on proper use and updates

·       Retrieve documents on request and forward

·       Track documents issued and ensure completion and return

 

Manage initial onboarding process

·       Initial contact with new hire

·       Forward new hire paperwork

·       Gather information on equipment needs

·       Ensure system set up is requested and equipment is delivered

 

Liaison with shared service departments

·       Create and process hire, transfer, promotion, termination notices to Brand Support Services for entry into Career Settings

·       Conduct or respond to audit reports on data

·       Run reports out of Career Settings as requested or request such reports from Brand Support Services

·       Point of contact with employees on payroll and benefits issues – assisting with accessing information and appropriate contact information as needed, escalate issues appropriately when not timely solved

·       Communicate and coordinate logistics of anniversary program, tuition and training reimbursement, health and wellness program, and matching gift program

·       Manage email distribution list requests – add/remove employees, create new lists

 

Coordinate Onboarding and Training meetings

·       Track and maintain calendar – including advising on potential conflicts and calendar balance

·       Send Welcome emails to participants for all training with necessary information needed for attendance

·       Maintain and communicate attendance lists – employees to invite, employees invited, employees attending, including attendance of self directed Marcel courses

·       Coordinate mandatory training – ensure launch, communication to employees, audit attendance and report deficiencies

·       Ensure all necessary materials are available for meetings – including coordinating presentation equipment/technology, decks, and food if provided

·       Reviews materials, makes updates as needed, and makes recommendations for changes and improvements

·       Manage and send post-training surveys

Minimum Qualifications:

  • Bachelor’s Degree in Business, Marketing or related
  • 1+ years professional experience
  • Passionate curiosity of the digital marketing landscape
  • Ability to create and maintain relationships internally and externally
  • Strong attention to detail
  • Eager to learn, grow and assist with a positive attitude
  • Ambitious and constantly looking for opportunities to over-deliver for team
  • Ability to interpret and follow direction, and ask smart questions
