Job Description

The Creative & Planning Resource Coordinator/Executive Assistant is responsible for the day-to-day management and coordination of resources in the creative and planning departments, including staffing, utilization and freelance management. The Creative & Planning Resource Coordinator/Executive Assistant will work closely with the department leads to understand their business objectives and provide staffing solutions. This role supports existing business and new business initiatives. Additionally, this role will act as Executive Assistant to the Strategy and Creative department leads, including calendar management and travel booking, expenses, etc. when required.

Key Accountabilities:

  • Manages shared creative and planning resources schedules
  • Ensures employees are billable and fully utilized
  • Maintains internal files
  • Maintains freelance budget
  • Aligns with department leads to understand staffing needs
  • Proactively solves staffing problems
  • Attends regular team meetings and recruiting meetings
  • Makes sound, timely decisions
  • Manages executive calendars
  • Oversees travel booking for CSO and CCO
  • Completes expenses and other confidential paperwork for executives

 

Qualifications

  • Minimum 5 years marketing/advertising business experience preferred
  • Bachelor’s Degree in marketing, advertising, communications or related field a benefit
  • Effective oral and written communications skills
  • Solid organizational skills
  • Ability to work well within fast-paced environment
  • Exhibits decisive problem solving and ability to prioritize
