Job Description

The Executive Assistant provides administrative and organizational support to the Global Client Lead, Executive Creative Director, SVP of Strategy. Duties and tasks mostly reflect variety and complexity, requiring judgment and experience to successfully accomplish tasks with limited direct supervision.

 

The salary for this role is $60,000 per year plus benefits.

Qualifications

Major Responsibilities/Primary Functions

·       Manages and maintains daily calendar of Chief Creative Officer, Executive Creative Director, and the Director of Integrated Production, working with administrators and meeting participants to efficiently and effectively schedule meetings, working around conflicts in a proactive and skilled manner and keeping manager(s) aware of updates

·       Keeps manager(s) apprised of all meetings, current situations, problems, etcetera.

·       Prioritizes multiple tasks and distinguishes between ‘urgent’ and ‘important’

·       While manager(s) are out of the office, make certain operations continue to run smoothly and keep up to date on messages and current events in the office

·       Provide general support including photocopying, booking meeting rooms, ordering supplies, etc.

·       Assist in preparing reports, spreadsheets, and presentations, applying skills in Word, Excel, and PowerPoint

·       Performs routine tasks such as those related to weekly staff- meeting communications/dial-ins/room set-up 

·       Accurately handles all general and confidential correspondence and documentation

·       Handles regular activities without prompting, and advise in advance with issues or delays

·       Makes travel arrangements, hotel, and restaurant reservations, with, directions, and itineraries, as needed

·       Completes timesheets, answers phones, and processes expense reports

·       Helps other assistants or executives if needed

·       Additional duties and projects as requested

 

DESIRED SKILLS AND EXPERTISE:

·       Bachelor’s degree preferred, or equivalent experience and/ or training

·       2+ years administration experience preferred

·       Ability to effectively and appropriately interact with co-workers at a variety of levels, across many disciplines

·       Proficient in the Microsoft Office Suite

·       Exceptional written and verbal skills with alongside the ability to communicate with all levels of employees and clients

·       Creative, strategic, and analytical thinking skills

·       A proven track record of gaining trust and respect by consistently demonstrating sound critical- thinking skills and maintaining composure in stressful situations

·       Exceptional initiative and attention to detail

·       After- hours work required.
