Job Description

We are looking for a Human Resources (HR) Coordinator to join our existing Human Resources team to help us continue to create a positive, diverse and inclusive work environment for all our employees.   Key to this role will be keeping our HR department running like a well-oiled machine. The HR Coordinator will support 2 great brands within the Publicis Groupe Canada family; Saatchi & Saatchi Canada and Leo Burnett Canada. Reporting to the HR Manager, they will assist across all aspects of the HR function. A great opportunity for broad exposure and exciting projects.

Position Responsibilities/ What would you be doing?  

  • Be part of the new hire onboarding process; employee satisfaction starts from day one, so we’re looking for someone who can work closely with new employees, from sending out employment contracts to leading our HR onboarding sessions.  
  • Maintain organization of physical and electronic files, ensuring that all are up to date with necessary information and escalating outstanding items.  
  • Assist the recruitment team to organize interviews and ensure accurate tracking 
  • Be responsible for the Freelancer Process 
    • Forecast 
    • Contracts 
    • Vendor creation/updates 
    • PO Creation 
    • Invoice Management 
  • Assist with various HR projects i.e. create the employee Birthday and Anniversary posters every month, tracking training i.e. compliance, Diversity & Inclusion, AODA etc.  
  • Partner with our shared services HRIS team to ensure our HRIS is updated and a trusted source of employee information 
  • to organize events and help to foster a best place to work environment  
  • Collaborate with the HR team to Research and recommend bold and creative best place to work ideas and help implement accordingly 
  • Provide support for the annual performance review program 
  • Manage tracking and administration of employee programs, assist with compilation and analysis of metrics 
  • Work with our IT partners to manage the systems and equipment related aspects of onboarding and offboarding 
  • Other HR projects – there’s always things we can help with! 

Qualifications

  • Equivalent of 1+ years of experience in an Office Administration or Human Resource Assistant/Coordinator role 
  • Post-secondary education in the HR field and working towards CHRP 
  • Exude a personality that is approachable and eager to help others around you 
  • You’re a great listener and understand relationships are key 
  • You always challenge yourself to improve upon the status quo 
  • great written and oral communication skills 
  • Proven experience working in a fast-paced environment where you’ve always got multiple projects on the go 
  • You’re an ace at the details and pride yourself on ensuring all of the I’s are dotted and the T’s are crossed 
  • Experience with maintaining an HRIS is a bonus 
  • Previous experience in the advertising/media or related industries a plus 
  • Deep integrity and strong work ethic
