Job Description

BBH is a creative agency who truly cares about our most important assets, our people. We are currently seeking a full-time People Operations Coordinator to join our team in NYC. 

As an integral part of a small but impactful and collaborative department, you will have a dual reporting structure to the Head of Operations and Head of People. In our continuous efforts to promote a culture that prioritizes equity, inclusion and the power of difference to make a difference, we are looking for an ambitious self-starter to ideate and grow with us. We intend for this role to start off as remote but will eventually join the rest of the agency in our NY office once it is safe to do so. Talent and Resourcing

  • Aid Head of Ops/People and Department Heads in the sourcing, contracting and on/off boarding of freelancers and full time employees. This includes:

    • HR Recurring Processes - Provide support to HR team on Performance Reviews, Compensation, Learning and Development opportunities

    • Payroll - Work with finance on reconciliation and process for all full-time/ freelance employees (semi-monthly) to ensure  payment on 15th and last day of every month. 

    • HRIS - manage quarterly upkeep, timely data entry and report generation to maintain compliance

    • As needed, update and maintain our freelance database to track active freelancers and resolve any payment issues for freelancers that may arise.

    • Onboarding - prepare and send out all Freelance/Full time new hire communications, collect and track HR forms, verify employment status, administer new hire survey, and (eventually) conduct new hire orientation. 

    • Off-boarding - send term alerts, generate necessary paperwork, calculate PTO accrual and payout, update HRIS and internal documents/applications 

    • Internal Intranet Page – Ensure information on our site is up to date and partner with Head of People to review on a quarterly basis  

    • Benefits - Act as main contact for employee benefit questions, liaise with Re:Sources specialists as necessary and conduct information sessions for Benefits and Timesheets 

Operations administration

  • Tracks all agency talent in terms of out of office days and agency-related travel (client meetings, production, etc.) 

    • Leaves of Absence - Track approvals, payment dates, and keep relevant parties apprised of return to work status

    • Maintains the Agency OOO Calendar

    • Reviews and tracks all agency Project Plans

    • Filing - Maintain organization of physical and electronic files, ensuring that all are up to date with necessary information and escalating outstanding items 

    • Helps create jobs in BBH PRO (time tracking system) and assigning resource to them as necessary

    • Ensure employee PTO annual allotments are correct and up to date in BBH PRO on a monthly basis. 

    • Organizational Charts - Work with Resource Management to update organizational charts on a monthly basis 

    • Turnover Analysis - Track employee exit interviews, generate monthly turnover report and provide analysis to Head of People

    • Assist with other various projects as needed

Recruitment and Mobility

  • Continually researches and pipelines talent (specifically  creative, project management and production) for possible freelancing needs or full-time hires.

    • Assists Head of Ops and Head of People with logistical needs for setting up candidate interviews and tracking progress through our ATS system, Smart Recruiter.

Culture, Diversity, Equity and Inclusion Initiatives

  • Work alongside the People team, Culture Club and DEI task force to create and execute various agency/corporate initiatives including, events, What’s Up Wednesday announcements, Black Sheep (volunteer) day, Sheepwell, etc.

  • 2+ years of relatable experience in client service or project management

  • Solutions-oriented; always has solutions in mind when managing up

  • Demonstrated ability to work on multiple projects at once

  • Extremely detail-oriented and organized

  • Strong oral and written communication skills

  • Strong interpersonal skills

  • A passion for creativity
