Account Coordinator

Job Description

The Administrative Account Coordinator is the right-hand to the Chief Client Officer and Executive CreatiMust be able to quickly discern priorities and anticipate any upcoming needs. This role will also include assisting the project management/production team with day to day tasks.

Day-to-day activities:

  • Provide support to Chief Client Officer and Executive Creative Lead, staying in close communication with both to ensure that you are on top of their evolving needs
  • Proactively manage complex calendaring and scheduling conflicts
  • Have daily correspondence with clients and internal teams
  • Manage complex global travel arrangements
  • Manage and coordinate meetings with internal teams and clients including: scheduling, booking conference rooms, ordering food, set up and clean up
  • Produce accurate and timely expense reports, follow up to make sure submitted expenses are paid in a timely manner
  • Respond to phone calls/texts, maintain contact as needed with team when they are out of the office/traveling
  • Assist clients when they are in the office, usually once a week or a few times a month.
  • Assist with projects and tasks as needed
  • Help with preparing copy decks to be submitted for translation
  • Upload campaign assets to client asset DAM
  • Work with print studio to manage print posters for in house use

Requirements

  • Executive Assistant experience preferred but not required
  • Bachelor's degree or equivalent level of work experience
  • An interest in learning about advertising as a whole, and specifically project management and production
  • Exceptional work ethic with a proactive mindset
  • A team player, someone who is keen to get involved and knows that there is no task too big or too small to accomplish
  • Strong problem-solving skills and the ability to anticipate and resolve issues before they come up
  • Ability to multitask and prioritize conflicting demands while staying organized
  • Strong interpersonal, verbal and written communication skills
  • Professional and calm under pressure
  • Ability to thrive in a fast paced and demanding environment – addressing every task with a sense of urgency
  • Proficiency with Microsoft Office, Outlook
