Job Description
The Executive Assistant is the right-hand to multiple executives on the account. Must be able to quickly discern priorities and anticipate any upcoming needs.
Day-to-day activities:
- Provide support to multiple Account team members, staying in close communication with each to ensure that you are on top of his or her evolving needs
- Proactively manage complex calendaring and scheduling conflicts
- Have daily correspondence with clients and internal teams
- Manage complex travel arrangements
- Manage and coordinate meetings with internal teams and clients including: scheduling, booking conference rooms, ordering food, set up and clean up
- Schedule and coordinate external client meetings as needed
- Produce accurate and timely expense reports, follow up to make sure submitted expenses are paid in a timely manner
- Respond to phone calls/texts, maintain contact as needed with team when they are out of the office/traveling
- Manage assigned meeting, training and group calendars
- Assist with projects and tasks as needed
- Provide coverage for other assistants when necessary
Qualifications
Requirements
- Minimum of 3+ years of experience supporting high-level executives in a fast-paced environment supporting multiple individuals
- Bachelor's degree or equivalent level of work experience
- Exceptional work ethic with a proactive mindset
- A team player, someone who is keen to get involved and knows that there is no task too big or too small to accomplish
- Strong problem-solving skills and the ability to anticipate and resolve issues before they come up
- Ability to multitask and prioritize conflicting demands while staying organized
- Strong interpersonal, verbal and written communication skills
- Professional and calm under pressure
- Ability to thrive in a fast paced and demanding environment – addressing every task with a sense of urgency
- Proficiency with Microsoft Office, Outlook
