Job Description

 

 

The Account Executive supports the Account team members in managing and coordinating all day-to-day operations of the brand’s marketing campaigns. The AE will work across two of the brand’s indications supporting an Account Director. S/he is the glue that holds the team together by ensuring all account management fundamentals are flawlessly buttoned up, so that the account can function as seamlessly as possible across all core projects and tasks. The account includes all areas of creative development and strategy including TV production (Allergan), strategic campaign development, digital and social production and the health and wellness category as a whole.

General Responsibilities

·         Client Review Process
Partners with Account Director to ensure all materials are uploaded to appropriate channels before MLR review dates. This includes:

o    Full understanding of the MLR process

o    Working directly with client coordinators to request and secure review time on  review calendar

o    Keep abreast of team member’s OOOs when requesting dates for review

o    Preparing all necessary documentation for review including cover letters, supporting documents and creative comparison charts

o    Requesting annotated documentation post-review from client coordinators

o    Reaching out to client help desk, as needed, to resolve any technical system issues prior to material submission

o    Working closely with Medical Edit team to ensure submissions are annotated correctly 

·         Meeting Management

The AE should always be the most prepared person in a meeting, complete with printed copies of materials, call-in information, any & all technical equipment and any reference materials needed for the meeting

o    Accountable for majority of internal and client meeting/conference call scheduling, including clear subject lines, meeting objective/agenda, up-to-date dial-in information and WebEx links, correct attendees, and no typos

o    Proactively manages internal & client calendars with appropriate parties well ahead of upcoming meeting time; needs to ensure all parties are secured for any given meeting

o    Quickly communicates any conflicts/challenges/new attendees to Account Director to ensure all internal parties are up to date before meeting’s start

o    Ordering food and securing/preparing room for in-person client meetings, as well as ensuring external visitors are registered with building security and have access to wifi. 

·         Status:

o    Compiles/updates all status documents internal and external, proactively checking in with account team to ensure details are up to date

o    Leads status meetings 

·         Trafficking

o    Manages TV, online video, and in doctor’s office video trafficking process including completing trafficking forms, obtaining files to spec from the producer, assets hand off, closed captioning and legal reviews.

o    Coordination with Media team to ensure that timelines and deliverables are met

·         Network Clearance

o    Tracks status of clearance for all networks/cable (pre-clearance and final clearance)

o    Collects and organizes all files needed from clients and agency

o    References all claims required for final clearance 

·         Servers (LionBox, and Client Servers)

Owner of the asset management systems- go-to person for any file request from the client or the team

o    Ensures server is always up to date and orderly; always promptly saves all files (from creative briefs, brand presentations, recaps, internal debriefs, etc.)

o    Ability to quickly navigate and share latest documents, regardless of project, with any team member

o    Knows brand assets in and out – what agency already has vs. does not have, and who to reach out to from the Brand in order to receive needed materials in a timely manner (e.g., creative files from professional marketing team, etc.)

 

·         Budgets/Finance

o    Working closely with Account Director to manage estimate approvals

o    Ensure monthly invoices are shared with client

o    Work closely with Integrated Producer to ensure accurate job #s are opened and assigned to projects

 

·         Project Timelines

o    Works closely with account team, Integrated Producer, production studio to develop project timelines

o    Have thorough understanding of project interdependencies and milestones

o    Ability to quickly course correct and update milestones/meetings as timeline changes/shifts

o    Follow up with clients on feedback and approvals and be able to convey impact of any missed deadlines

 

·         Talent

o    Manages talent holding fee payments with Talent Manager and tracks HF payment status for all projects

Understanding The Brand’s Business & Building Strong Client Relationship

·         Well-versed with historical & current campaign work
Proactively understands the brand’s historical work, in order to provide helpful perspective & insights based on past campaigns quickly whenever needed.
