Job Description

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Support Senior Managers and Buyers in day-to-day operations.
  • Booking the space or airtime once the campaign plan has been agreed with the client.
  • Handle own set of client accounts with accountability and responsibly.

 

DELIVERABLES

1. Build strong relationship with media owners

2. Able to use Tardiss to execute booking to stations and onward to BCC for billing.

3. Quality control on all spots/ buys.

4. Ensure smooth communication with Planning Teams:

  • Fully understanding the requirement for Buying Brief
  • Two way communication process and suggestions to help planners

5. Reconcile with media owners on bookings and billings respectively. Negotiate for compensations.

PERIODICAL DELIVERABLES

1. Monthly

  • Billing Schedules
  • Generate correct schedules for finance billing.

2. Media Reports/Invoices

  • Generate media spend reports by each client.
  • Submit savings report on 10th of each month
  • Update planners with client spend and contract status.
  • Assist finance on invoice matching to bcc schedule number.

3. Fortnightly

  • Tracking of sponsorship floaters and FOC spots. Ensure timely and accurate tracking.

4. Weekly/Daily

  • Monitor ad clash within the account in accordance to requirements.
  • Verification of booked spots with airtime agreement.
  • Ensure all bookings are sent via e-mail/fax and confirmed receipt via email reply/telephone call.

5. Overall

  • Work closely with Senior Managers / Buyers on booking requirements and deadlines.
  • Learn relevant buying tools and update self with media buying related information.

6. Accuracy and attention to details:

  • Quality control in bookings and ensuring its accuracy before sending out
  • Ensure media bookings and invoices tally for efficient and timely for finance Invoicing
  • Checking of print quality (including position, color quality, date etc.) on tearsheets / magazines

7. Ensure accurate & timely of:

  • Booking documents are sent immediately upon printing.
  • MCRs & Copy Instructions are released to creative agencies
  • Copy Instruction to be sent to media owners
  • Censorships certificates, MIM, FINAS documents emailed/sent out to media owners
  • File tear-sheets/publications (original copy will be collected by finance for billing from buyer / tearsheet clerk)

 

 

Qualifications

Requirements:

  • A minimum of 1 to 2 years of media planning and negotiating experience in a media agency
  • A complete knowledge of interactive marketing concepts and practices as well as a familiarity with offline media concepts
  • Strong mathematic and analytical skills

  • Experience analyzing complex data, market research, and formulating actionable plans
