Job Description

Job Scope: The primary person responsible for secretarial and administrative duties related to the CEO, CFO and CTO

Job Purpose: The purpose of this role is to ensure efficient and effective secretarial support to offices of the Senior Leadership Office. Confidentiality is required for all matters pertaining to the offices concerned.

Scope & Reporting Structure: This position reports directly to the CEO.

Reponsibilities:

  • handles all necessary required and requested correspondence, filing, typing, formatting and etc.
  • managing and organizing CEO, CFO & CTO's schedule
  • arrangement and coordination of CEO, CFO & CTO's travel bookings (including transportation, accommodation, itinerary and etc.)
  • arrangement and coordination of CEO, CFO & CTO's meetings (including scheduling, documentations, equipment, venue, food & beverage, venue and etc.)
  • set up the administrative files and systems and ensure all these are in order all the time
  • arranges and organizes distribution of information to all related parties via emails & mails
  • handling CEO, CFO & CTO's calls, callers, inquiries and guests
  • prepare of presentation deck, spreadsheet as require and related
  • handles all CEO, CFO & CTO's administrative duties such as leave application, claims and etc.
  • ensure all files and stationery relevant to CEO, CFO & CTO's office is well maintained
  • ensure proper support is in place in your absence from work
  • management
  • liaison with all relevant parties (Global, Regional & Local) as required
  • any other duties assigned by CEO, CFO & CTO
 

Qualifications

Requirements:

  • Diploma graduate
  • min. of 3 years working experience in related field
