Job Description

Starcom is in search of a full time Administrative Assistant to support members of our Executive Team and initiatives primarily for our New York office.  The ideal candidate will have 2 to 3 years of related experience as an Administrative Assistant or in a similar role, will have excellent attention to detail, and superb customer service skills.  

This role will support a team that is inclusive, fun and hard working and will play a critical part in the day to day functions of an award-winning media advertisement agency. 

MAIN RESPONSIBILITIES: 

  • Makes and manages travel arrangements
  • Submits/tracks expense reports
  • Coordinates meetings including space confirmation and required meeting/material preparation and room set up Greets vendors or clients at reception as needed
  • Manages administrative set-up and preparation to ensure all new employees have required materials and feel welcomed upon hire
  • Coordinates employee work space with required internal contacts (move forms, supplies) Ensures proper system accesses are obtained for employees and provides support assistance when possible
  • Maintains Executives’ and team schedules when necessary
  • May answer phone calls for Executives and Directors Updates phone lists, organizational charts, group calendars, or any other informational materials required either for team or agency etc.
  • May assist in presentation preparation or formatting if necessary.

Qualifications

  • Associate's degree; Bacherlor's degree preferred.
  • 2 to 3 years of directly related experience in an Administrative Assistant or similar role
  • Excellent verbal and written communication skills; can effectively and clearly communicate to ensure informational alignment with required contacts.
  • Excellent cross functional collaboration skills to manage multiple stakeholders at client and agency, ensuring they operate as one unified global team
  • Strong customer service orientation; ability to develop strong relationships/gain credibility with partner agencies, vendors, clients, etc.
  • Strong detail orientation and organizational skills
  • Possesses high attention to detail skills and the ability to multi-task under pressure
  • Strong interpersonal skills – able to work effectively with all level of internal and external contacts.
  • Strong self-initiative skills; wired to proactively keep required individuals informed of status changes or anticipated issues
  • Excellent time management skills and the ability to set priorities
  • Thrives in fast paced environment; manages competing demands and high volume well
  • Highly resourceful; demonstrated experiencing navigating organizations well to achieve results PC proficiency and strong working knowledge of Microsoft Office (Powerpoint, Excel, Word)
