Job Description

Role

The Operations Senior Executive will work across all Zenith clients, carrying out and supervising financial administration relating to the approval, booking, reconciliation, invoicing and reporting of campaigns across all media. An important part of this role is to help support and develop junior members of the team (8 Executives) as well as take the lead on a number of tasks. We are looking for a curious, self-motivated individual with a broad and basic knowledge of all media who can demonstrate critical thinking and problem-solving abilities. The ideal candidate will be able to apply their pre-existing knowledge of systems and media to push through efficiencies and create simpler workflows.

Team Department/Profile

The PMX Operations Team are often described as the “engine” at the heart of Publicis Media as they perform a critical role in ensuring the smooth running of client campaigns. They work with the Investment and Planning teams day-to day, but they also liaise closely with the agency finance team as well as clients’ finance departments and media owner sales teams in order to investigate and resolve any invoice queries.

The Operations team has only recently been formed and has a roadmap for growth, giving the successful candidate an exciting and challenging opportunity to help shape the future direction of the department.

With a remit to cover all media, and a broad client base that includes categories such as Retail, FMCG, Luxury goods, Travel, Finance and Entertainment, the Operations team are skilled in streamlining processes to suit all client needs, whilst maintaining accuracy and delivering to deadlines.

Key Responsibilities

  • Ensuring that central folder containing client approval of media plans is up to date
  • Putting all campaign budgets on to the invoicing system and matching them to correct client Purchase Order number to ensure that media activity is invoiced accurately and paid on time
  • Setting up campaigns each month and dealing with any ad hoc changes
  • Completing administrative tasks to ensure campaigns go live on time and that delivery is monitored
  • Vouching for bookings and reconciling monthly spends in conjunction with the Investment team and media vendors
  • Investigating and resolving (or escalating) any media vendor invoice queries in  a timely manner
  • Trafficking digital campaigns
