Job Description

The primary responsibilities of the Operations Associate Director include:

• Working alongside the planning, investment, operations, finance, and reconciliation teams to execute the end-to-end financial management process inclusive of budget authorization, client billing and timley payment, supplier invoice reconciliation and payment, and compliance with internal/external audit requirements.

• Partnering with the client’s Finance and Procurement teams to deliver financial reporting and tracking (e.g. monthly analysis of planned vs. actual spend, delivery reporting, labor reports, etc.). Aid finance/planning/activation to manage the Agency Dashboard reporting. Aid digital activation teams to manage the monthly Agency Digital Forecast.

• Managing the tools, systems, and processes that enable sound financial operations including planning/investment team support/training, time codes and accurate time reporting & billing, talent database/staff utilization, audting plans in Mediatools for accuracy, etc.

• Manage office environment including, seating, floorplan, locker plan, IT equipment, etc. Manage transition of staff, including, new hire, term employees and agency internal transitions, team trainings, etc. Works alongside senior leadership in managing organziation charts, PTO, employee distribution lists, etc.

• Ensures proper function of team opererations, including all team systems and tools. Evaluate/execute of misc file sharing tools,. i.e. share drive, courier intralinks, lionbox. Manage setup, access, and consistent usage of Mediatools across planning teams. Aid in providing access, client, product, and vendor setup in Buy systems Mediabank/Prisma. Manage terms and conditions/billing instructions on Digital insertion orders from Prisma.

Qualifications

• The Operations Associate Director must have a firm grasp of the end-to-end planning/buying process and how the various agency and client functions work together within that process.

• Candidate must have a Bachelor’s Degree, preferably with a concentration in Accounting, Finance, Economics, Business, Advertising, Marketing, Communications, or related.
