Job Description

Reporting into CoLab’s Head of Resource Management, you will leverage your project management and people skills to provide general operational support to the Resource Management team.

You will work both independently and collaboratively with Talent Acquisition, Resource Management, and Human Resources to understand current staffing plans, predict future client resource needs, identify staffing gaps, complete and report on day-to-day staffing requests, update org charts and staffing plans, manage and report staffing information and project updates, and troubleshoot and resolve various issues related to talent and staffing processes, procedures, and systems.

PLEASE NOTE: This is a 40hr/wk temporary position with an employment term expected to run for a period of 4-6 months. While conversion to full-time following the temporary period is possible, it is subject to business needs and is not guaranteed.

ALSO NOTE: This is a hybrid position requiring onsite collaboration an average of 3 days/week. The role is based out of our New York City office located at 375 Hudson Street; all candidates must be local to the NYC metro area and willing to commute into that office on a regular basis.

Responsibilities:

  • Manage, maintain, and make real-time updates to staffing project trackers to ensure that all data is accurate and as current as possible.
  • Build, maintain, and update org charts that reflect up-to-date staffing plans for cross-functional teams across the agency.
  • Review, understand, and resolve various issues and challenges that arise within projects being supported by the Resource Management team.
  • Maintain and communicate information to stakeholders about current projects and provide job status updates as needed.
  • Support the rollout of new staffing processes and serve as first point of contact for employee questions and issues regarding those processes.
  • Receive and process staffing requests for both full time and contracting resources.
  • Audit staffing data to ensure data accuracy and integrity.
  • Create, maintain, and distribute reports, templates, dashboards, and metrics.
  • Ensure workflow progresses efficiently and projects/staff are juggled as priorities shift.

Qualifications

  • 1-3 years of professional experience in resource management, staffing/workforce planning, project/program management, or traffic management, preferably in an advertising agency, a consultancy, or a complex corporate environment.
  • Ability to support and drive complex, rapidly-changing initiatives to successful completion.
  • Understanding of marketing projects and associated staffing requirements strongly preferred.
  • Ability to promote smooth workflow and communication between teams, ensuring workflow progresses efficiently and projects/staff are shifted as needed.
  • Strong Excel, data management, and reporting skills, including the ability to use pivot tables and V/H/XLOOKUPs to build dashboards.
  • Experience working within specialized enterprise software including applicant tracking systems (ATS), HR information systems (HRIS), or customer relationship management systems (CRM) strongly preferred.
  • Experience building, maintaining, and presenting project documentation including trackers, spreadsheets, plans, roadmaps, etc.
  • Highly collaborative but also comfortable working autonomously and independently to own and resolve problems as they arise.
  • Outstanding communication and interpersonal skills with an ability to effectively and efficiently organize and convey complex information.
  • A natural problem solver with strong critical thinking skills, outstanding organizational skills, and a meticulous attention to detail.
  • Proactive, adaptable, and flexible with a strong work ethic.

Compensation Range: $30-$40/hr. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time. This role may be eligible to participate in our freelancer/temporary employee medical plan through a third-party benefits administration system once certain criteria have been met.
