Job Description

Responsibilities include:

Financial planning

  • Creation of budgets for each event; considering each events objectives and set out a cost budget to work against that delivers a high quality event experience while keeping costs in line with defined gross profit objectives  
  • Carefully monitor revenue delivery against each event, and control costs as needed in order to deliver the budgeted profit margin
  • Ongoing cost control is essential across the event portfolio, sourcing new suppliers and contra partnerships where needed to facilitate the delivery of successful events

 Financial reporting

  • Weekly reporting to the Global Head of Event on event by event basis
  • Work across several complex P&L spreadsheets to not only monitor and maintain individual event costs but also report on the overall annual event spend, noting any variance against budget and how this aligns with the revenue stream
  • Work with the management accounts team on their reported actual monthly spends to ensure all financial reporting across the events and accounts divisions are accurate

 Venue sourcing

  • Manage the Venue Sourcing Manager to ensure the right venues are being researched for the event specifics
  • Aligned venues in order to maximise on buying power
  • Each event contract negotiated with a keen eye to added value delivery from the venue and cost saving measures implemented as appropriate to hit the confirm budget and GP
    • Event contract must be thoroughly examined and all eventualities considered in terms of financial risk implications
    • Each venue and contract must be proposed to the Global Head of Event for final sign off   

Audio Visual

  • Source appropriate AV suppliers for each event, working with the venue around any preferred suppliers and secure the best production available.  Includes any bespoke production on individual events such as simultaneous translation, audience voting systems, web streaming
  • Ensure that each event has appropriate staging and branding in accordance with the event size, objectives and sponsor expectations
  • Negotiate AV costs to meet budgeted costs and overall GP
  • Present AV costs and variable for final sign off by Global Head of Events

 Sponsor liaison

  • Manage the sponsorship team to streamline client deliverables and processes
  • Work with the sponsorship team to ensure that they have the materials and information they need to successfully sell on each event
  • Attend meetings with the sales team as necessary in order to offer guidance on what is available/possible
  • Establish effective relationships with key clients, maintaining excellent communication and service

Marketing

  • Onsite documentation production – overall responsibility to ensure that all event documentation is produced by the team; including the onsite guide, agenda printing, badge printing, reserved signed
  • Signage at the event – overall responsibility to ensure that all event signage is produced, including any specific sponsor deliverables and art direction
  • Production of sponsor deliverables – overall responsibility to ensure that sponsor deliverables are produced including lanyards, bespoke events onsite, branded items, installations, showcases, goody bag inclusions, event collateral inclusions
  • Travel and accommodation – overall responsibility for booking all travel and accommodation for the team working on the event and also sponsors when required

 Onsite project delivery

  • Produce a detailed onsite schedule for each event, considering all staff, suppliers, speakers, sponsors and delegates
  • Staff management onsite, make sure that each member of staff has been assigned specific tasks as needed and that these are carried these out to the best of their ability
  • Set up meetings as needed with all key onsite suppliers (venue and AV crucial) to ensure that they are all fully aware of the expectations placed on them, and the event is executed flawlessly
  • Post-event wrap up – overall responsibility for collation of final attendee list, evaluation form analysis, final thank you email to sponsors and speakers, budget reconciliation including chasing any remaining supplier invoices
  • Manage freelance operation staff to execute overseas events

Accounting

  • Adhere to processes aligned to the accounting team and monthly cash flow and sign off process
  • Manage payment schedule and tracker to make sure that suppliers/venues are correctly paid

Training

  • Training of team in order to help them to grow within role on and off site
  • Nurturing and management of junior members
