Job Description

ProSource360 Consulting Services, Inc. is seeking an Advanced Office Clerk (AOC) to provide expert-level customer service and support to technicians and the systems used in healthcare delivery. The AOC will function as the following:  Work Order Clerk, Test, Measurement, and Diagnostic Equipment (TMDE) Clerk, and the Supply Parts Clerk.  The work will be performed at Brooke Army Medical Center (BAMC) in Fort Sam Houston, Texas.

 

Responsibilities

The Advanced Office clerk will respond to telephonic, face-to-face, and emails for Medical Devices and Equipment (MDE) work order requests. The successful candidate will open new work orders for MDE in the APSR and assign the work order to the team’s inbox for appropriate distribution.

  • Review equipment record data, as requested
  • Update and maintain internal documents and reports, as requested
  • Notify Property Custodian (PC) (military and/or Government civilians) of scheduled preventative maintenance (SPM) information and MDE work orders completed and ready for pick up.
  • Maintain a clean and organized front desk
  • Issue and receive tools and TMDE to the biomedical technicians
  • Inspect tools and TMDE before and after issue for damage and accessories.
  • Review SPM forecast of TMDE that is due for calibration services.
  • Coordinate for TMDE to be serviced on-site or shipped back to the manufacturer for calibration services and document records in the Accountable Property System of Record (APSR).
  • Submit parts and/or service requests directed to the Billing Official for review and approval and/or denial.
  • Maintain a clean and organized TMDE room.
  • Inventory and maintain records of tools and TMDE.
  • Ship and/or issue MDE and parts in the APSR.
  • Retrieves boxes from the Supply Chain warehouse and provides documentation to the
  • Government Purchase Card holder and/or Billing Official for processing
  • Maintain a clean and organized supply and shipping room.
  • Provide an inventory and maintain records of parts and provide records/reports to the COR, Chief of BES, and/or Non-Commissioned officer in charge (NCOIC) of 7 Biomedical Engineering Services (BES) every six (6) months.
  • Review the parts catalog in the APSR and routinely update the parts records and request for critical parts restocking when stock is low.

Qualifications

Required

  • High school graduate or equivalent.
  • Minimum of six (6) months experience clerical, inventory, and parts supply tasks.
  • Ability to lift up to 50 pounds of equipment; to push/pull equipment carts; and to kneel, stand, bend, and reach during MDE retrieval, document filing, and processing of supply.
  • Detail oriented and able to effectively manage time.
  • Able to inventory, ship, receive, and issue MDE, parts and supplies, to include standard office supplies as well as MDE parts and accessories.
  • Knowledge and skill in using standard Microsoft operating systems, Microsoft Office suite of products for Office Automation, and administrative and clinical software products currently in use at BAMC.
  • Ability to maintain accurate records of repairs, calibration, and tests.
  • Understand and comply with The Joint Commission TJC and other applicable standards and regulations.
  • Skilled in effective communications verbally and in writing, accurately and completely document MDE information in APSR.
  • Able to communicate with clinical staff and provide assistance.
  • US Citizenship Required
  • Successful candidate must be able have favorable security results for local and federal checks
