Job Description

Prosource360 Consulting Service, Inc. is seeking an Executive Assistant to provide administrative and operational support for two service areas within the four branches and the Office of the Director Global Immunization Division at the Centers for Disease Control and in Atlanta, Georgia. The division’s composition requires high functioning executive assistants to provide administrative and operational support services to its staff.  There is a wide range of administrative and operational support needed to accurately and clearly interpret and explain agency policies, rules and regulations in this area.  Additionally, the division is comprised of high level executives who need specialized administrative support assistance routinely.    

Qualifications

The successful candidate will provide support in the following five key areas:

Provide meeting support services:

  • Schedule and attend weekly meetings; provide meeting and conference support
  • Develop, schedule and remind staff of upcoming business appointments, process visitors’ security requests and answer routine inquiries
  • Travel to in-person meetings that involve GID

Provide Travel Support Services:

  • Make travel arrangements; serve as Agency/Organization Program Coordinator for government travel charge card; provide executive with travel documentation; maintain and update “Actual” travel tracking travel system; prepares and tracks Division travel projections/expenditures; serve as the Division wide Integrated Conference Approval Portal (ICAP) coordinator for conference travel; coordinate travel arrangements

Systems and Records Support Services:

  • Compile necessary information from/by Stop Transmission of Polio (STOP) team members; track STOP Supplies inventory and update documents and staff; update multiple SharePoint with document receipt data and STOPer specific information; manage the administration concerning the STOP database; set up and maintains file systems; create and maintain electronic and physical filing system; etc.

Administrative Support Services:

  • Serve as primary liaison between program and administrative offices; identify issues, and develop recommendations to resolve substantive problems; ensure that requests for action or information are relayed to the appropriate staff member; compose correspondence requiring understanding of technical matters; gather and analyze information required for administrative reporting; maintain an inventory of supplies; and assist with the in-processing and out-processing of staff; etc.

Human Resources Support Services:

  • Assist with STOP recruitment by managing and organizing incoming applicant data; initiate new and renewal guest researcher packages; utilizes automated systems, such as Web-based applications, to perform basic external placement and recruitment work for an organization with standardized job patterns, and well-defined work processes; review recruitment and placement actions and provides recommendations on routine issues, such as the selection and use of specific appointment authorities from a list of available alternatives; generate job announcements, reviews applicant qualifications on-line, and generates referral lists. Uses similar, past recruitment actions as templates for new actions, announcements, crediting plans; perform organizational analyses and/or manpower utilization studies; provide assistance on requests for highest previous rate; above the minimum pay setting; recruitment, retention, and relocation incentives; special physician pays; service credit for leave, and other compensation and retention flexibilities; etc.

Required Skills, Certifications, Education

  • 5-10 years of experience providing administrative support to Executives
  • Exercise ability to provide feedback to staff on any problems that arise with suggestions of administrative solutions
  • Exercise discretion with sensitive information
