Job Description
The Front Desk Coordinator serves as the primary ambassador for the practice. This role is responsible for directing patient flow, facilitating a professional check-in/out process, and providing exceptional customer service. The Coordinator ensures that all administrative and financial data is captured accurately to support the clinical team and the practice's operations.
Essential Job Duties:
- Greet patients and visitors promptly with a professional and helpful demeanor.
- Execute the patient check-in process by verifying and updating all demographic and insurance information at every visit.
- Assist new patients with the completion of intake forms and ensure all digital and physical records are organized.
- Collect co-pays, co-insurance, and outstanding patient balances; facilitate financial agreements as directed by the Patient Financial Services (PFS) team.
- Maintain real-time communication with clinical staff regarding scheduling updates, including late arrivals or cancellations, to optimize patient flow.
- Batch and balance all daily financial transactions and submit comprehensive activity reports at the end of each shift.
- Maintain strict adherence to HIPAA guidelines and internal privacy protocols to protect patient information.
- Participate in ongoing educational activities and staff meetings to improve practice workflows.
- Perform other administrative duties as required to support the Director of Practice Operations.
Qualifications
2+ years of experience in a clinical or medical office setting.
Exceptional verbal and written communication skills with a strong customer-service orientation.
Proven ability to manage competing priorities in a high-volume, fast-paced environment.
Strong organizational skills and attention to detail.
Proficiency with medical billing software and Electronic Health Records (EHR) preferred.
HIgh School Graduate or GED
