Job Description
We are looking for a skilled professional who provides administrative support to executives, senior management, and our administrative department. The administrative officer will handle various tasks, such as managing schedules, handling correspondence, organizing meetings, facilitating the onboarding of clients and vendors, facilitating the expense reimbursement of the employees, maintaining records, and ensuring smooth operations and effective communication within the organization.
- Act as the point of contact between the executives and internal and external clients
- Undertake the tasks of receiving calls, taking messages and routing correspondence
- Handle requests and queries appropriately
- Maintain diary, arrange meetings and appointments and provide reminders
- Make travel arrangements
- Take dictation and minutes and accurately enter data
- Research advantageous deals or suppliers
- Produce reports, presentations and briefs
- Develop and carry out an efficient documentation and filing system
- Support the employees by facilitating expense reimbursement, acquiring new mobile phones for new hires or any employees who require them, providing fleet and other card access, and coordinating with the enterprise for the release or return of vehicles
- Provide assistance to the administrative office with client and vendor onboarding
- Serve as a point of contact between the CEO and the internal team
- Support the administrative office in managing the logistics and monitoring of all equipment for all local employees
- Assist the team in adhering to the regulatory requirements of the United States and its branches across Asia.
Qualifications
- Must have strong analytics skills.
- Have worked in the past with C-level executives, corporate officers, and directors.
- Proven experience as an Administrative Officer or Executive Administrative Assistant, Senior Executive Assistant or in other secretarial position
- Full comprehension of office management systems and procedures
- Excellent knowledge of MS Office
- Proficiency in English
- Exemplary planning and time management skills
- Up-to-date with advancements in office gadgets and applications
- Ability to multitask and prioritize daily workload
- High level verbal and written communications skills
- Discretion and confidentiality
- Bachelor's degree in business administration, operations management, or a related field.
