Job Description

We have an exciting opportunity for a Clerical Officer to join the CHAT department here at Portsmouth Hospitals University NHS Trust.

We are looking for someone who can deliver a first-class service, able to demonstrate administration support across the department and to be able to operate a complex reception desk in a busy setting where the service requires.

This is a busy, but rewarding role. Excellent communication skills, a flexible approach, ability to meet tight deadlines and interact with a wide variety of patients and staff within the Trust is vital to this position.

The post is demanding, challenging, and extremely rewarding- staff must be able to work between the hours of 08:00am and 05:00pm.

Job Summary:

  • To provide an accurate and efficient administrative service to the DSU, TSA and POA working both within a team and using own initiative, assisting in achieving compliance with local and national access targets. The role includes working as part of a multifunctional team interacting with Waiting List staff across Directorates.

Key elements of role will include:

  • Receptionist
  • Preparing notes for the clinics (includes lifting/collecting/delivering notes to/from other departments) – tracking notes as and when they are moved. 
  • Admit / Discharge / Transfer of patients on computer systems
  • Making follow up appointments
  • Update Clinics lists, attend, cancel and rebooking appointments
  • To include any adhoc duties that is required by the departments

 

Qualifications

Qualifications

  • NVQ Level 2

Skills and Knowledge

  • Literate and numerate
  • Excellent standards of customer / patient care
  • Ability to use a personal computer with knowledge of word processing, and Windows applications
  • Working knowledge of clerical procedures.
  • Ability to communicate in written and oral English.
  • Ability to understand and work with administrative and medical processes and practices.
  • Knowledge of dealing with highly sensitive / patient confidential information.
  • Ability to cope with exposure to occasionally unpleasant working conditions including complex situations and care of the seriously injured or ill.
  • Able to deal with anxious and distressed patients and relatives
  • Strong interpersonal skills
  • Strong administration skills
  • Effective communicator both orally and on paper
  • Skill in working with cross-functional teams
  • Ability to act and ensure delivery

Experience

  • Experience of working in an NHS Trust environment or in equivalent role (e.g. customer services, receptionist, secretary etc.)
