We are in search of a qualified and reliable Office Assistant for our office located in the Center of Bucharest, sector 1 - Piata Romana Square.

If you have at least 1 year of proven experience as an Office Assistant / Coordinator, excellent administrative & organizational abilities, outstanding verbal and written communication skills with a very good understanding of maintenance & facility services, then we highly encourage you to submit your application.

Job Description

  • To welcome the company’s visitors
  • To provide general administrative support to all departments of the company in their daily work.
  • To provide and coordinate internal and external information flow between the company`s departments, employees, and administration, through various information channels
  • To organize business trips, business meetings and management meetings, to cooperate with travel agencies, hotels, restaurants etc.
  • To support such activities as company`s employee’s trips, photo sessions, internal parties, and meetings.
  • To develop and keep up to date company`s records and registration, to control filing cases under it.
  • To monitor and maintain storage stocks for administration needs.
  • To provide employees with required amount of office supplies and order them when necessary.
  • To cooperate with suppliers, make and receive orders.
  • To check on office premises tidiness several times a day. To ensure that office premises are clean and tidy.
  • To organize company`s internal meetings and meetings with clients, suppliers.
  • To perform the various duties required to keep maintenance operations running smoothly.
  • To draft correspondence, forms, and reports in Microsoft Office (Excel, Word) and other required programs.
  • To handle confidential information regularly.

Qualifications

  • Good command of Romanian language both spoken and written
  • Good command of English language both spoken and written
  • Diplomacy, reliability, high sense of responsibility
  • Solid PC knowledge (Microsoft Office suite)
  • Initiative, problem-solving, serious, dynamic
  • Solid communication skills (writing / speaking)
  • Client oriented, able to work well with others
  • Able to effectively deliver information and respond to questions from the management team, suppliers, and customers
  • Able to manage and schedule multiple priorities and meet deadlines
