Job Description

The Payroll Specialist will perform and oversee all aspects of payroll functions of the organization. Payroll Special must be able to manage multiple tasks throughout their day while maintaining a high level of accuracy in their work and production by ensuring pay is processed on time, accurately, and in compliance with government regulations.

Qualifications

Duties/Responsibilities:

  • Implements, maintains, and reviews payroll processing and accounting systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
  • Ensures accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates.
  • Prepares and maintains accurate records and reports of payroll transactions.
  • Facilitates audits by providing records and documentation to auditors.
  • Identifies and recommends updates to payroll accounting software, systems, and procedures.
  • Collecting timesheet data and payroll information from HRIS.
  • Calculate wages and process payroll transactions including severance pay, special bonuses, commissions, transition allowances.
  • Preparing and processing biweekly and semi-monthly paychecks for over 100+ employees.
  • Preparing periodic payroll reports for review by finance controller
  • Gathering and calculating employees’ hours worked, incorporating overtime, holiday pay, night shift pays, etc.
  • Prepare and execute pay orders through an electronic system or distribute paychecks.
  • Process payroll taxes
  • Prepare reports for US and Global upper management, finance department, etc.
  • Reconciles and prepares annual W-2 forms for employees at the end of the year.
  • Prepare reports for upper management, finance department, etc.
  • Ensures compliance with federal, state, and locals payroll wages, and hour laws and best practices.
  • Attending to payroll inquiries from employees.
  • Performs other duties as assigned by management.
  • Preparing payroll and tax reports for federal, state, and local agencies when required.
  • Prepare yearly salary budget with coordination of all relevant departments.
  • Submit monthly payroll reconciliation reports to the corporate office.

Additional Information

Required Skills/Abilities:

  • Extensive knowledge of payroll functions including preparation, balancing, internal control, and payroll taxes.
  • Very good knowledge of legislation and regulations of the field.
  • Excellent organizational skills and attention to detail.
  • Attention to details.
  • Mathematical skills for calculating taxes and employee wages.
  • Proficient in MS Office and good knowledge of relevant software and databases
  • Trustworthy with attention to confidentiality
  • Proficient with Microsoft Office Suite or related software.
  • Light travel required

Education and Experience:

  • Bachelor’s degree in accounting, Business Administration, Human Resources, or related field required.
  • Previous working experience as a Payroll Specialist for at least 3 year(s).
  • Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP) will be advantageous.
  • In-depth knowledge of applicable payroll tax laws of some states in the US.
  • 3+ years of accounting experience

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
