Job Description

About the role:


We are seeking a proactive Executive Assistant to keep our leadership team focused, organized, and moving forward. This isn’t your average assistant role; you will be managing projects, streamlining communication, juggling calendars, and making sure nothing falls through the cracks.


We need someone who thrives on structure, loves working with project management tools like Notion and Trello, and isn’t afraid to suggest better ways of doing things. You'll work closely with our leadership team Monday through Friday, helping us stay accountable to our goals, deadlines, and commitments, while occasionally pitching in on our social media and marketing efforts.

What you will be doing:

  • Manage executive calendars, coordinate meetings, and ensure follow-ups don’t slip through the cracks
  • Own and maintain project management systems like Notion, Trello, or Asana, making sure timelines and deliverables are met
  • Collaborate with cross-functional teams to move initiatives forward and track progress
  • Draft and manage internal communications, including weekly updates and project briefs
  • Research tools, systems, and solutions to improve workflows and overall team efficiency
  • Provide basic support for social media scheduling and content coordination
  • Support light marketing tasks such as proofreading, formatting creative assets, and uploading content
  • Organize digital files, notes, and assets using platforms like Google Drive, Dropbox, or Notion

     

Qualifications

What we are looking for:

  • 3+ years of experience in an executive assistant, project coordinator, or operations support role
  • Excellent written and verbal communication skills
  • Experience using project management tools (Notion, Trello, Asana, Monday.com, etc.)
  • Highly organized with a natural ability to manage multiple deadlines and moving parts
  • Tech-savvy—comfortable picking up new tools and platforms quickly
  • Able to work independently, anticipate needs, and offer solutions without being asked
  • Familiarity with social media platforms and marketing tools like Canva, Buffer, or Mailchimp (preferred)
  • Marketing, communications, or content creation experience (preferred)
