In this role you will ensure that Pendo's headquarters and all office systems/processes run smoothly. Your responsibilities will include (among many other things!) monitoring our front-desk space, managing all vendor relationships, administering day-to-day office functions, handling ongoing requests of Pendo employees and ensuring that the facilities are clean, orderly, and safe.
What you will do:
Serve visitors by greeting, welcoming and directing them appropriately.
Answer, screen and forward any incoming phone calls while providing basic information when needed.
Receive and sort daily mail/deliveries/couriers.
Supervise the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities.
Supervise the maintenance of office equipment, including copier, fax machine, etc.
Responsible for the facilities day-to-day operations (such as distributing building access keys and back-up to security access cards, etc.).
Responsible for ordering supplies, refreshments, and catering as needed.
Assist with planning and execution of on-site and off-site company events.
Acting as a facilities liaison by creating work order tickets and addressing building issues.
Participate as needed in special department projects.
Assist with all office vendor management.
What you possess:
1+ years of direct office management experience (preferred office size 100+ employees)
Experience in a startup or high-growth work environment
Strong sense of independence and ability to self manage in the work place
Excellent oral/written communication skills
Ability to be resourceful, proactive and innovative in dealing with office issues that may arise
Ability to organize, multitask, prioritize numerous requests daily
Knowledge of office operations and event facilitation
Ability to handle multiple tasks in a time-sensitive, fast-paced environment
