Job Description

New York City based Publishing company seeks a highly organized, Bi-Lingual Sales Administrative Assistant for our Latin America market.

Responsibilities:

· Create and edit sales presentations and sales materials using PowerPoint and Excel

· Interacting with customers and outside sales representatives

· Send book samples to customers (MUST be able to lift 25-30 pound boxes)

· Process and track purchase orders through internal software system

· Manage account order history of confirmed projects

· Tracking inventory utilizing Excel database

· Manage/Assist with special projects as needed

· Set up new accounts, including payment terms, and keep information updated and current

· Create invoices for orders and track payments

· Create contracts, as well as, track and maintain customer’s files

Qualifications

Desired Skills and Requirements:

· Advanced Microsoft Excel, Word and PowerPoint skills

· Strong Microsoft Outlook skills, including calendar management

· Excellent written and verbal communications skills

· Ability to prioritize, multitask and have excellent time-management skills

· Must be able to meet strict deadlines

· Ability to work independently and take initiative

· Great attention to detail and excellent follow-up skills

· Professional appearance

· Ability to work well with all levels of management and staff, as well as, clients and vendors

Education/Experience:

  • Fluency in Spanish is a MUST
  • Bachelor’s degree preferred, Associate’s degree required
  • At least 2 years of work experience in an administrative role
  • Prior publishing or marketing experience is preferred, but not required
