Job Description

We are looking for energetic, proactive, and enthusiastic candidates with multitasking skills and attention to detail to take up a full-time position of an Events Specialist in Tallinn.

Full-time employment based in Tallinn

You will:

  • Prepare international events (travel will be rare and only in back up cases, but a possibility always remains)
  • Assist with participants travel/troubleshoot prior and during the meeting
  • Communicate with internal and external clients on meeting planning, organization, conduct and follow-up
  • Do the market research with regards to destinations/venues for project meetings
  • Assist in development and implementation of procedural documents and tools related to organization and conduct of project meetings
  • Assist in preparation of meeting reports and other documentation  
  • Assist in identification, evaluation and contracting of vendors involved in project meetings
  • Assist with travel arrangements for the meeting attendees
  • Prepare and provide the data related to project meetings expenses
  • Assist with reimbursement payments for meeting attendees
  • Assist with the the online registration system maintenance and meeting attendees’ database
  • Assist with internal departmental meeting and support department’s processes

Qualifications

  • College or University degree
  • Experience in hospitality/event industry and/or administrative office work
  • Proficiency in MS Office applications
  • Full working proficiency in English
  • Strong organizational skills, attention to detail, ability to multitask and work in a dynamic team environment
  • High level of responsibility and customer orientation
  • Ability and desire to travel abroad upon request
