Job Description
ABOUT THE ROLE:
Join our team as an Administrative Specialist – Nursery Operations at PRT Brownlee, a container forest seedling nursery that grows 49.6 million seedlings annually. This is a varied role that combines essential administrative and purchasing support with hands-on involvement in nursery operations and regular opportunities to work outdoors with our crop. Reporting to the Nursery Manager, you’ll help keep the site running smoothly through accurate administration, inventory and supply coordination, crop data collection, and shipping support. If you’re highly organized, enjoy variety in your day, and like the idea of balancing office-based work with time outdoors in an active nursery environment, this could be a great fit.
What You'll Do
- Manage key administrative functions for the Brownlee site, including safety, logistics, accounts receivable, accounts payable, data collection, and recordkeeping.
- Support crop inventory and monitoring activities outdoors, including approximately two weeks of seedling inventory work in June and two weeks in September, monthly crop measurements, and monthly nutrient sampling for laboratory analysis.
- Order materials and parts for nursery operations and monitor inventory levels of key supplies, including chemicals, fertilizers, and other consumable goods.
- Work closely with the Nursery Manager and Supervisor to maintain shipping supplies, including pallets, boxes, shrink wrap, and other materials required to prepare seedlings for shipment.
- Assist with all aspects of shipping, including packing coordination, shipping logistics, and direct communication with customers to help ensure orders move smoothly from the nursery to their destination.
- Maintain accurate seedling and consumable inventory information and help coordinate and improve processes related to inventory, quality assurance, and financial activities across the nursery.
- Provide responsive, detail-oriented support to the Nursery Manager, Nursery Specialists, Regional Manager, and broader site team while balancing multiple priorities and deadlines.

Qualifications
What YOU bring to the table
You’re a highly organized and self-motivated professional who enjoys variety and doesn’t want to spend every day behind a desk. You’re comfortable moving between administrative details, purchasing and inventory coordination, customer communication, and hands-on work outdoors in the nursery. You thrive in a fast-paced environment and bring the attention to detail and flexibility needed to support a busy production operation.
- 3+ years of progressive administrative or operational support experience, ideally in a production, agricultural, horticultural, forestry, or similarly hands-on environment.
- Passion for working with trees and outdoors.
- Experience with accounts receivable and payable, recordkeeping, purchasing, inventory management, and coordinating supplies or materials.
- Advanced proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
- Exceptional organizational and communication skills with the ability to manage multiple projects and priorities concurrently.
- Experience with safety administration and data tracking.
- Comfort working outdoors as a regular part of the role, including extended periods during twice-yearly crop inventories and monthly crop measurement and nutrient sampling activities.
- Ability to collaborate with nursery operations on packing and shipping activities and communicate professionally with customers regarding shipments.
- A valid driver's license with a willingness for occasional local travel.
- A bachelor's degree in a related field is a plus.
